General Job Description:

The Instructional Supervisor’s Secretary at Upper Valley Career Center provides support to the high school supervisors overseeing Health Sciences, Information Technology, Human Services, Hospitality and Tourism, Law and Public Safety, Education and Training, Arts and Communication, and Academic programs.  This role includes managing and overseeing requisitions and purchase orders and making purchases for the previously mentioned programs.  Additionally, the Secretary is responsible for coordinating and scheduling substitute coverage and advisory meetings, as well as proofreading and making necessary revisions to advisory minutes to ensure accuracy and clarity.

 

Responsibilities:

Responsibilities include but are not limited to the following:

  • Embodies high ethical standards.

  • Displays flexibility, reliability, self-discipline, and a willingness to take on challenging tasks. 

  • Completes requisitions and tracks purchase orders and purchases.

  • Assists with collecting receipts and documentation for credit card statements. 

  • Maintains information needed for budgeting purposes for CTE programs and academic departments.

  • Provides support to two instructional supervisors overseeing the following programs: Health Sciences, Information Technology, Human Services, Hospitality and Tourism, Law and Public Safety, Education and Training, Arts and Communication, and  Academics.

  • Monitors, verifies, orders, and disseminates textbooks, materials, supplies, and equipment for the programs listed above.

  • Works with school personnel to verify distributions and complete the payment process for ordered equipment and supplies.

  • Maintains a systematic filing system that supports the efficient retrieval of records.

  • Exhibits effective organizational, time management, and resourceful problem solving skills.

  • Assists with the organization of advisory meetings and collects, proofreads,  and tracks the minutes and sign in sheets. 

  • Effectively communicates with supervisors and faculty members to ensure effective planning.

  • Maintain schedules, attendance, calendars, and information for teachers and substitutes.

  • Assist in coordinating activities and events when needed.

  • Ensures CTE programs comply with state, federal, and district regulations and assists in compiling data for reporting and compliance.

  • Ensures confidentiality of sensitive information and adheres to ethical standards and legal requirements when handling data.

  • Performs responsible secretarial work involving the use of independent judgment and personal initiative.

  • Establishes and maintains cooperative and effective working relationships with other faculty members.

  • Other duties as assigned by the supervisors.

  • Collects information and creates satellite career tech fee schedules. 

  • Checks in and submits time sheets for substitute teachers.


Qualifications:

  • Possesses high school diploma or GED.

  • Has a thorough knowledge of standard office practices, procedures, equipment, and clerical techniques.

  • Demonstrates proficiency in Google Suite Apps, Microsoft Word, and Microsoft Excel.. 

  • Shows the ability to multitask and work in a team environment.

  • Exhibits proficiency in organizing and record keeping.

  • Displays  proficiency in spelling, proofreading, and the proper use of grammar.

  • Delivers effective customer service.

  • Meets all mandated health screening requirements.

  • Maintains a record free of criminal violations that would prohibit public school employment.  Able to successfully pass a  BCI/FBI background check.

  • Maintains compliance with drug-free workplace rules, Board policies, and other applicable procedures/guidelines.



Salary:

Appropriate placement on the Secondary Secretarial Salary Schedule to be determined by education and experience.  Salary will range from $30,750.00 ( Class VIII, Step 0) to $37,103.00 (Class VIII, Step 5).  Base contract is 225 Days.   Minimum workday is 7.5 hours per day exclusive of a lunch break .  One-year contract with opportunity for renewal.

School Employees Retirement System, Worker’s Compensation, paid sick/personal leave, partial tuition reimbursement, and tax-sheltered retirement contributions.  Medical, dental, vision, and life insurance offered. Some benefits are a shared cost between the employee and the Board of Education.

 

Performance Evaluation:

Job performance is evaluated according to policy provisions and contractual agreements adopted by the Upper Valley Career Center.
