We are currently accepting applications for a Front Desk Medical Receptionist.
Job Summary:
The Front Desk Medical Receptionist provides exceptional patient service by greeting patients promptly and professionally, both in-person and via phone, as well as scheduling and rescheduling patient appointments. In addition, the Front Desk Medical Receptionist monitors Provider’s schedules and assists with managing patient appointments to ensure efficient scheduling practices.
Essential Job Duties and Responsibilities: (Additional duties as assigned)
- Provide excellent patient service.
- Greet patients in a friendly and welcoming manner both in person and on the phone.
- Promptly and professionally answers all incoming, multi-line, telephone calls ensuring to introduce yourself and the practice. Screen and direct calls appropriately.
- Monitors Provider’s schedules to ensure it is efficiently being booked.
- Schedules and reschedules patient appointments over the telephone, in-person and follow up visits at the end of the initial patient appointment.
- Assist patients in scheduling appointments and maintaining records and accounts.
- Assisting patients in getting rostered to our practice as their Primary Care Provider (PCP) if they are not assigned to UFHC.
- Verifying insurance prior to their appointment.
- Reminding patients to arrive early if documentation needs to be completed prior to their appointment.
- Assist patients with the kiosk, as needed.
- Initiate video conferencing with interpreters as needed.
- Capture and record reportable demographic information.
- Engage patients in utilizing the patient portal.
- Respond to all patient questions, concerns, and complaints in a calm, non-confrontational, supportive manner and is able to de-escalate situations as needed.
- Check appointment schedules daily for accuracy and insurance verification.
- Perform required patient screening prior to visits, both on the phone and in person.
- Remind patients to bring a list and/or their current medication with them to their appointment.
- Supply required paperwork and ensure all required information is filled out and is up-to-date by the patient, including but not limited to records release forms, patient transfer forms, sliding fee discount application, etc.
- Check patients in and out and asks patients with balances due if they would like to make a payment or set up a payment plan.
- Report any issues or concerns to the Practice Manager.
- Collect payments and prepare deposits.
- Types correspondences, memos and other documents as approved by supervisor or designee.
- Scan and index incoming correspondence and lab reports.
- Open mail and receive faxes and distribute to appropriate individual.
- Demonstrates efficient/productive use of work time. Arrives for work as scheduled and focuses on job duties as listed above. Punches in/out daily and for lunch as required in a timely fashion.
- Demonstrates team effort. When individual work is complete, looks for ways to help others.
- Participates in educational and administrative staff training.
- Updates computer schedules as requested by the Practice Manager/Provider.
- Treats all patients, peers, providers and staff in a positive, professional manner.
- Actively participate in the practice’s customer service and quality improvement efforts.
- Other duties as dictated by the needs of the practice.
- Completes all required training and continuing education as directed.
- Assist with onboarding with new reception employees and perform other tasks assigned by the Practice Manager.
Required Experience and Education:
- High School Diploma or equivalent.
- At least one year’s experience in a customer service-related role.
- Knowledge of medical terminology preferred.
- Experience as a Medical Assistant highly preferred.

Equipment, Machines and Software Used:
- Ability to operate a computer and other office productivity machinery, such as a telephone, copy machine, scanner, computer, and printer, etc.
Work Environment:
- Work is performed in a primary care clinic setting.
Physical and Mental Requirements:
- Ability to sit, stand, walk, talk, hear, use hands to finger, grasp, handle or feel, push, pull, reach, crouch, bend, kneel, and perform repetitive motions of the hands and/or wrists.

Compensation: $20 to $23 hourly
