Job Summary
We are seeking a Staff Accountant with Payroll Responsibilities to join our finance team. Reporting to the Senior Director of Finance, you will play a critical role in maintaining accurate financial records, performing reconciliations, and contributing to various accounting activities. This position also involves efficiently and accurately processing accounts payable transactions and managing the payroll process for our organization. You will also work closely with the Human Resources department to coordinate payroll-related activities, ensuring compliance with financial regulations and labor laws.
Key Responsibilities
Accounting
- Oversee and assist in day-to-day accounting tasks, including fixed assets, cash, and general ledger activities.
- Process financial transactions accurately and promptly, ensuring adherence to established procedures.
- Reconcile and analyze assigned balance sheet accounts to identify discrepancies and resolve issues.
- Collaborate with the finance team to facilitate the monthly, quarterly, and annual financial close process.
- Assist in preparing comprehensive financial statements, reports, and analyses in accordance with GAAP.
- Maintain a solid understanding of the organization’s financial systems, particularly Acumatica.
- Provide assistance during audits by preparing and organizing pertinent financial documentation.
- Contribute to budgeting and forecasting activities and process improvement initiatives.
Accounts Payable
- Process and verify invoices, ensuring accuracy and compliance with company policies.
- Prepare and process weekly check runs and electronic payments.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Maintain organized and up-to-date accounts payable files.
Payroll Processing
- Administer the bi-weekly payroll process for all employees, including data entry, calculations, and distribution of paychecks.
- Ensure compliance with federal, state, and local tax regulations.
- Respond to payroll inquiries and resolve discrepancies or issues promptly.
- Maintain accurate employee payroll records and files.
- Generate payroll reports for management and auditing purposes.
Compliance and Auditing
- Stay up to date with changes in payroll and accounting regulations.
- Assist in annual audits and provide necessary documentation and support.
Team Collaboration
- Collaborate with the Finance team, Human Resources, and other departments to ensure accurate and efficient financial processes.
- Participate in cross-training and support colleagues during peak workload periods.
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Minimum of 3 years of progressive accounting experience, including accounts payable and payroll; experience in the non-profit sector is a plus.
- Working knowledge of Generally Accepted Accounting Principles (GAAP) and strong understanding of payroll/tax regulations and compliance.
- Proficiency in using accounting software, preferably Acumatica, and payroll software, preferably Paycor.
- Skilled in MS Excel.
- Strong analytical skills and attention to detail.
- Effective communication skills, both written and verbal.
- Ability to manage multiple tasks, prioritize assignments, and meet deadlines.
- Strong ethical standards and a commitment to handling confidential financial information with discretion.
- Ability to work independently and meet deadlines in a fast-paced environment.
