This position also requires the ability to multi-task to the meet administrative needs between for the Division of Breast and Plastic Surgery academically and between other hospital facilities.
Associates Degree or pertinent college level courses and five years of healthcare experience. Will consider equivalent combination of education and experience.

- Coordinating OR Surgical cases for surgeons
- Schedules into EPIC any procedures which will occur at University Hospital. Coordinates requires Pre-Admission Testing and Anesthesia linked appointments.
- Works in conjunction with billing office to ensure that appropriate referrals or authorizations have been obtained and documentation completed via EPIC.
- Obtains authorization for clinic procedures, insurance verification, maintains referrals work queue and EPIC depot.
- Scheduling outpatient procedures, such as: CT, X-rays.
- Responsible for live scheduling patients for surgery while at clinic consults. Provides patient all preparation documentation including anesthesia instructions, medication instructions, and pre op, pretesting, and telemedicine appointment details.
- Answers the telephone, taking accurate messages, transferring calls to appropriate staff or handles certain calls that are appropriate.
- Assists with scheduling follow up appointments in the outpatient practice as requested by the procedure practice.
- Responsible for chart preparation in EMR system. Reviews the patient orders and makes sure that all pertinent information is available for the provider prior to patient's surgery. (e.g. requests missing test results or clearance notes are sent to our office prior to surgery).
- Access to PACS System and HealtheConnections
- Responsible for providing appropriate documentation and orders to Crouse Hospital and St. Joseph’s Hospital.
- Communication with the scheduler outside the facility with correlating surgeon calendars.
- Responsible for sending written correspondence for procedure appointment changes.
- Schedules outside services as requested by the physician for the patient (Medicaid cab, interpreter services, etc.).
- Responsible for review of the procedural schedule to make sure that the schedule is appropriate regarding the time allotted for each procedure to decrease patient "wait time" and utilize the physician's time efficiently.
- Communication relationship with the multiple clinics and APP support for the surgeons.
- Responsible for all documentation for reimbursement payments to grants, divisions, department.
- Responsible for itineraries and guidance for speakers attending Grand Rounds and M&M education conferences.
- Responsible for arranging travel and accommodations for surgeon travel to conferences, education meetings, etc.
- Responsible for generating pricing quotes for cosmetic surgery depending on case, length, and fee schedule.
- Responsible for correlating all meetings on Outlook calendars for surgeons.
- Responsible for organization and facilitating administrative needs for the annual Carol Baldwin Grand Rounds and gala.
