Uptown Rental Properties is seeking an Operations Administrative Assistant to join our growing team!
Our ideal Operations Administrative Assistant candidate is someone who has experience in Maintenance or Operations Administration, who will be providing support to our Shared Services Department by focusing on all general administrative duties and data management within the department.

Operations Administrative Assistant Responsibilities:
- Utilize property management software to manage completion of daily maintenance work orders
- Work closely with Field Technician Supervisor to monitor labor hours and ensure efficiency within department
- Maintain satisfactory inventory levels in collaboration with Inventory Control Manager
- Manage Capital Expenditure projects: schedule, budget, vendors, etc.
- Track & report departmental KPIs
- Review data analytics & complete financial comparison reports
- Input & track status of invoices
- Main point of contact for communication between vendors and Uptown Rental Properties
- Serve as primary liaison for maintenance, grounds and fleet service issues, recurring service issues and operational data
- Monitor, track & input data for Facilities, Grounds, Fleet, Asset: service requests, maintenance schedules, projects
- Maintain filing system for hard copy and digital records for Shared Services department: vendor contracts, SOPs, etc.
- Perform any operational & facilities administration duties as needed
Operations Administrative Assistant Required Qualifications:
- HS Diploma or Equivalent
- Valid driver’s license
- 2 years of Maintenance or Operations Administration

Experience in one of the following:
- Property Management Software
- Service Request or Work Order Software
- Asset Management software
- Preventative Maintenance Software
- Inspection Software
- Scheduling experience, familiarity with scheduling software
- MS Office
- Advanced proficiency in Excel
- Analytical thinker/problem solver
- Ability to prioritize and stay organized while multi-tasking in a fast-paced environment
- Self-starter
- Collaborative team player
