Position Summary: Supervises the activities of the MOW Volunteer Services department. Accountable for the operation of the Meals on Wheels Volunteers and Clerical Volunteer programs. Oversees risk management and quality measurement reports for Volunteer Services programs.
Responsibilities
Qualified individuals must be capable of performing the following essential duties and responsibilities, with or without reasonable accommodations:
- Responsible for the supervision and staff development ensuring that all Volunteer Services (VS) staff acquire and maintain proper training and in-services.
- Responsible for all Volunteer Services staff yearly performance evaluations.
- Responsible for submitting and approving Volunteer Services staff timesheets.
- Establishes and enforces policies, procedures and standards for service delivery by MOW staff, volunteers and contractors. Works with the MOW Director/Assistant Director to assure applicable procedures are properly communicated to all affected individuals.
- Resolves all volunteer requests, inquires, and concerns in an expedient and respectful fashion.
- Supervises/manages volunteer recruitment, interviewing, screening, training, placement, and supervision for all new Meals on Wheels volunteers – deliverers, clerical and kitchen. Assists in obtaining clerical volunteers for other URMHC departments as needed.
- Development and implementation of volunteer recruitment strategies to include working closely with Marketing and Public Relations.
- Acts as a liaison between agency and volunteers, providing information, written and verbal, as required. Prepares notices and announcements, as needed. Represents VS/Agency to community.
- Promotes regular communications to volunteers through meetings, quarterly newsletters, and other appropriate means.
- Prepare quarterly trainings for volunteers – per funding guidelines.
- Collects, maintains records and reporting quality measurements – volunteer satisfaction, RSVP reporting, volunteer service hours and other quality measurements as needed.
- Develops and implements ongoing strategies and programs for retention and recognition of volunteers. Develops and implements annual agency wide volunteer recognition/awards program and special events/recognition for volunteers.
- Identifies MOW operational issues affecting volunteers, strategize improvements and communicates finding to MOW Director and/or Assistant Director.
- Represents URMHC MOW Volunteer Services Department in professional organizations and community groups such as Rochester Area Administrators of Volunteer Services (RAAVS), Lifespan (RSVP program), Association of Volunteer Administration (AVA).
- Maintains records on volunteer service hours, program utilization, and outcomes for volunteer program evaluations and reports.
- Coordinates scheduling and assigning of MOW volunteers for county-wide MOW route delivery. Regularly communicates with volunteers via phone, email, in writing and in person.
- Develops scheduling tools and materials, and coordinates distribution of materials. Communicates regularly with route captains regarding volunteers and route issues.
- Serves as back up for Volunteer Coordinators as needed.
- Oversees, organizes and initiates the planning, packing and delivery of Warmest Wishes bags for participants.
- Routinely completes meal delivery route (minimum 1 volunteer route and/or 1 paid driver route each year) when scheduled and as needed.
- Responsible for the Key Performance Indicators (KPI’s) established by their manager.
- Performs such similar, comparable, or related duties as may be required or assigned.

Qualifications
Education & Experience - Applicants must possess the following qualifications or an equivalent combination of education and experience:
- Education:
- BA, BS degree or equivalent experience.
- Experience:
- Experience in volunteer administration, human service or health care agency required.
- Minimum 3 years’ experience with supervising personnel and operations.

- Strong communication skills, both oral and written.

- Ability to develop and maintain constructive relationships with UR Medicine Home Care and the community.
- Work under minimum supervision and exercises a moderate degree of discretion and judgement.
- Must be able to function as a member of a “self-directed” work team.
- Occasional travel to other agency locations, volunteer drop sites and to meet volunteer.

Salary Range: $52,790.40 - $102,356.80
