Urban Engineering is seeking a highly organized and detail-oriented Office Assistant/Contract Specialist to join our team. This role will provide essential support in preparing construction contracts, managing project documentation, and handling general office duties. The ideal candidate will be a proactive problem-solver with excellent communication and computer skills.
Responsibilities:
- Contract Preparation:
- Assist in the preparation and review of construction contracts, including gathering necessary information, formatting documents, and ensuring accuracy.
- Track contract progress and deadlines, communicating with internal and external stakeholders as needed.
- Maintain organized contract files, both physical and electronic.
- Project Administration:
- Prepare project pay estimates, ensuring accuracy and timely submission.
- Assist with project closeout documentation.
- Manage project files and records, ensuring easy access and retrieval.
- Communication & Correspondence:
- Draft and prepare professional letters, emails, and other correspondence.
- Communicate effectively with clients, subcontractors, and internal staff.
- General Office Support:
- Perform general office tasks, including filing, photocopying, scanning, and data entry.
- Order and maintain office supplies.
- Assist with scheduling meetings and appointments.
- Maintain a clean and organized office environment.
- Other duties as assigned.
Qualifications:
- Associate's degree or some college coursework preferred.
- Proven experience in an office environment, preferably in the construction or engineering industry.
- Strong understanding of contract terminology and principles is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel) is essential.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Ability to work independently and as part of a team.
