Urban Engineers of New York, D.P.C. is seeking qualified individuals to join our Accounting Department as a Senior Accountant/Payroll Manager. The Senior Accountant is responsible for the month end accounting close, processing and managing payroll, providing accounting support for recording transactions and reconciling accounts. The payroll component includes collaborating closely with the Human Resources department to maintain payroll accuracy and supporting Human Resources with employee data management.
Responsibilities:
Accounting Functions:

- Prepare and post payroll journal entries to ensure accurate financial reporting and reconciliation with accounting records.
- Reconcile benefit invoices and related ledger accounts, utilizing carrier portals to confirm enrollments, rates, and billing details.
- Prepare and update monthly payroll wage and PTO accrual entries and assist with month-end close processes and reconciliations. Assist with other accounting functions as needed.

- Collaborate with external auditors, providing necessary documentation and preparing audit reports.
Payroll Processing:

- Oversee the accurate and timely processing of payroll for all employee categories (salaried, hourly, part-time, and temporary).
- Ensure all payroll changes (e.g., new hires, terminations, promotions, bonuses, rate changes) are processed accurately and within the appropriate pay period.
- Manage and maintain payroll and ERP systems related to employee records, ensuring data integrity, security, and effective functionality.
Compliance & Reporting:

- Ensure strict compliance with federal, state, and local payroll tax regulations.
- Review payroll taxes, reports, and other regulatory filings, ensuring timely and accurate submissions through Paycom (e.g., W-2s, 1099s, tax payments).
- Prepare and maintain accurate payroll reports for management, auditors, and other stakeholders, including support for project billing.
Human Resources Support:

- Verify and enter new hire information, including tax withholding forms, direct deposit details, and benefits elections, ensuring seamless integration into the payroll system.
- Manage all new hire enrollments with various carrier portals.
- Address and resolve employee inquiries related to payroll, benefits, tax deductions, garnishments, and general payroll concerns, ensuring a high level of customer service and satisfaction.
Process Improvement:

- Continuously evaluate and optimize payroll processes to enhance efficiency, accuracy, and employee satisfaction.
- Stay current with industry trends, best practices, and changes in payroll legislation and technology to maintain compliance and operational effectiveness.
Confidentiality & Security:

- Ensure the confidentiality of payroll data and employee information, adhering to company policies and industry best practices for data security.
- Safeguard payroll records and employee data, maintaining compliance with data protection regulations.
Requirements:
- Education:
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field (preferred).
- Payroll certification (e.g., Certified Payroll Professional - CPP) is a plus.
- Experience:
- Proven experience (typically 5 years) in payroll processing and management.
- Previous experience in a supervisory or managerial role is preferred.
- Strong experience in HR processes, including onboarding and benefits administration, is highly desirable.
- Experience with accounting functions such as journal entries, reconciliations, and month-end close is preferred.
- Skills:
- Expertise in payroll software, HRIS systems, and Microsoft Office Suite (especially Excel).
- In-depth knowledge of federal, state, and local payroll laws and regulations.
- Strong understanding of employee benefits, payroll-related accounts, and accounting principles.
- Strong analytical, organizational, and problem-solving skills.
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
