Position Description
The Development Assistant will play a crucial role in supporting our fundraising, marketing, event planning, and donor relations efforts. This position requires a proactive individual with excellent administrative skills, a keen eye for detail, teamwork skills, ability to work independently, and a passion for community engagement and fundraising.
The Development Assistant must have the ability to adapt in an ever-changing non-profit environment. They will be responsible for stewarding existing relationships and helping the organization build new strategic partnerships with donors, foundations, and community partners/sponsors. Their work will be guided by establishing and maintaining positive relations with funders, corporate partners, and community leaders, particularly in the nonprofit sector. They will routinely handle donor database, SharePoint organization, reporting development updates and outcomes, and aiding with event planning and logistics. They’ll work diligently on the day-to-day operations of a small development team while keeping a big picture awareness of how to increase funds for our work while making a meaningful impact in the community. This position offers a flexible schedule to an independent and efficient employee who takes the initiative to complete tasks and projects in a timely manner.
The Development Assistant will report directly to the Executive Director of Development and Operations and will work closely with the development team and will also be expected to work with the entire team for additional questions and concerns.

- Coursework in marketing, communications, public relations, events productions, psychology or related field.
Responsibilities include, but are not limited to:
Grants and Reporting Administration
- Assist in the preparation, submission, and management of grant applications;
- Track and report on grant progress and outcomes to ensure compliance and successful funding;
- Identify and research potential funding opportunities and donors;
- Maintain a database of prospective grants and funding sources; and,
- Work closely with the Director of Grants and Acquisitions to prepare grant applications for funding opportunities up to $10,000.
Community Outreach Administration
- Collect and organize testimonials and photos from program participants and events to support marketing and reporting efforts;
- Collaborate with the social media team to ensure consistent and effective communication of our mission and programs;
- Manage and organize all development-related photos for easy access and use in marketing materials;
- Support the development and execution of outreach and marketing campaigns to engage donors, members, and the community;
- Conduct cold calls to potential donors and sponsors to solicit support for events and fundraising initiatives;
- Represent the organization at local Rotary meetings, networking groups, and tabling events; and,
- Investigate and connect with local corporate giving programs.
Event Administration
- Provide on-site support during events, including setup, registration, coordination of activities, and event logistics;
- Assist with planning events, working closely with the Volunteer Manager and the Marketing Coordinator to ensure smooth operation and coordination;
- Solicit and secure donations for silent auctions, ensuring a diverse and appealing selection of items;
- Manage the collection and organization of donated items for events and programs;
- Conduct cold calls to potential donors and sponsors to solicit support for events and fundraising initiatives;
- Support the development and implementation of membership incentive programs to retain and grow our member base;
- Assist in preparing materials and supplies needed for events, ensuring everything is ready and organized;
- Handle post-event wrap-up duties, including sending thank you letters, emails, and making thank you calls to donors, partners, and guests; and,
- Ensure auction items are delivered to winning bidders and deliver gratitude gifts and thank you cards to donors, partners, and guests.
Other Duties
- Attend all staff and development team meetings;
- Meet weekly with Executive Director of Development and Operations;
- Ability to meet with Urban Roots’ team members when needed to coordinate development related requirements; and,
- Assist with data collection and reporting to measure outputs and outcomes of Urban Roots programming.
Job Type: Part-time
Pay: $17.00 - $20.00 per hour
