The Office Manager is a strategic leadership role responsible for overseeing the operational, financial, and administrative functions of the dental practice. The Office Manager leads and motivates the team while collaborating with dentists to enhance efficiency, patient satisfaction, and practice growth. This role reports directly to the Practice Administrator.
Primary Responsibilities:
- Align the team with the company’s vision, mission, and core values.
- Monitor financial performance, ensuring daily, weekly, and monthly production goals are met.
- Optimize patient scheduling to ensure efficiency and maximize treatment acceptance.
- Conduct daily schedule audits to identify opportunities for improvement.
- Lead daily huddles, monthly team meetings, and interoffice communications.
- Oversee recall and reactivation systems, ensuring patient retention.
- Provide leadership and mentorship to staff, fostering a culture of professionalism.
- Manage employee scheduling, addressing shift changes and staffing needs.
- Guide patients through financial arrangements and treatment plan acceptance.
- Address and document patient grievances and staff misconduct, escalating when necessary.
- Ensure strict compliance with HIPAA, OSHA, and CDC regulations.
- Train and onboard new employees to maintain consistency in practices and protocols.
- Oversee insurance verification, claims processing, and patient billing accuracy.
- Maintain an organized, welcoming, and professional office environment.
- Coordinate maintenance of office equipment and manage supply inventory.
- Assist clinical staff and dentists with operational support as needed.
