Overview

We seek a dynamic and experienced individual to join our team as a Medical Office Receptionist Supervisor. This role is essential in ensuring the smooth operation of our medical office reception area and providing exceptional customer service to our patients. The ideal candidate will possess strong leadership skills, excellent organizational abilities, and a passion for delivering high-quality patient care.

Responsibilities

  • Supervision and Leadership:
  • Provide leadership, guidance, and support to the medical office receptionist team.
  • Supervise daily activities, including scheduling, task assignment, and performance management.
  • Conduct regular team meetings to communicate updates, address concerns, and foster a positive work environment.
  • Train new receptionists on office procedures, customer service standards, and the use of relevant software and insurance systems.
  • Patient Engagement and Customer Service:
  • Oversee patient check-in and check-out processes, ensuring accuracy and efficiency.
  • Address patient inquiries, concerns, and complaints promptly and professionally.
  • Monitor patient flow and wait times to optimize scheduling and minimize delays.
  • Collaborate with clinical staff to coordinate patient appointments, referrals, and follow-up care.
  • Administrative Support:
  • Maintain accurate patient records, including demographic information, insurance details, and medical history.
  • Verify insurance coverage, collect co-payments, and process billing transactions as needed.
  • Manage appointment scheduling, cancellations, and rescheduling to maximize provider availability and patient access.
  • Prepare and distribute daily schedules, appointment reminders, and other communications to patients and staff.
  • Quality Assurance and Compliance:
  • Ensure compliance with HIPAA regulations and patient privacy guidelines in all reception area activities.
  • Monitor front desk operations to uphold quality standards and identify opportunities for improvement.
  • Conduct regular audits of patient records, billing documentation, and administrative processes to maintain accuracy and integrity.
  • Implement and enforce office policies, protocols, and procedures to promote consistency and efficiency.
  • Team Collaboration:
  • Collaborate with other department supervisors and healthcare providers to facilitate seamless patient care and interdisciplinary communication.
  • Participate in staff meetings, committees, and quality improvement initiatives to contribute to organizational goals and objectives.
  • Foster a collaborative and supportive work environment that promotes teamwork, mutual respect, and professional growth.

Qualifications

  • High school diploma or equivalent
  • Previous experience in a medical office receptionist or administrative role required and three (3) years of supervisory experience.
  • Strong leadership and interpersonal skills with the ability to motivate and develop a team.
  • Excellent customer service skills, including effective communication and problem-solving abilities.
  • Proficiency in using electronic health records (EHR) systems, insurance verification, and Microsoft Office applications.
  • Knowledge of medical terminology, insurance billing processes, and appointment scheduling procedures.
  • Ability to multitask, prioritize tasks, and work efficiently in a fast-paced healthcare environment.
  • Commitment to maintaining confidentiality, professionalism, and ethical standards in all interactions.
