The Overview
The Office of Admissions is an integral part of Ursuline Academy of Dallas. This office seeks an organized, relationship-oriented professional with outstanding communication skills. This position supports the overall management of the Office of Admissions and plays an essential role in guiding prospective families through the admission process – from initial inquiry to final enrollment. The Admissions Associate is responsible for providing efficient, friendly, and helpful responses to inquiries, coordinating campus tours, assisting in the planning and execution of admission events, managing applicant files, and overseeing the on-campus student ambassador leadership program.
Founded in 1874 by the Ursuline Sisters, Ursuline Academy of Dallas is an independent Catholic, college preparatory school for young women. General Authority
The Admissions Associate reports to the Director of Admissions and Enrollment Management who reports to the Principal.
Essential Duties and Responsibilities
- Support the Director of Admissions in overseeing the complete admissions process for grades 9 – 12, ensuring a timely, organized, and welcoming experience for all prospective families
- Contribute to the planning, execution, and evaluation of 50 events per year, including, but not limited to, the following key programs:
- 8th Grade & Transfer Visit Days
- Campus Tours
- Parent Coffees
- Admission Showcase
- Applicant Interviews
- Act as the first line of contact with the Admissions Office, managing inquiries, and maintaining applicant records, following up with families to guide them through each stage of the process
- Contribute to the implementation of recruitment strategies and outreach initiatives aimed at meeting and exceeding enrollment goals
- Help establish and nurture relationships with partner schools and peer schools
- Participate as a member of the Admissions Committee, reading application files and rendering decisions.
- Manage the admissions email inbox and respond to all correspondence in a timely manner
- Assist in developing clear and compelling promotional materials, in partnership with the Communications Team, that highlight Ursuline Academy’s value proposition, vision, mission, educational experience, and programming
- Oversee Ambassador Program, 125ish student leaders who support the Office of Admissions and partner with other key offices on campus (Advancement, Alumnae, Communications, Global Relationships and Cultural Exchange, and President’s Office), by supporting the student leadership in facilitating Ambassador assignments, meetings, outreach, tours, and visits
Additional Responsibilities
- Serve as a faculty advisor for a group of students
- Chaperone campus events
- Proactively seek and participate in professional development
- Have the flexibility to extend hours during busy periods or work evenings and weekends for admissions events as needed
Qualifications and Skills
- Bachelor’s Degree
- Commitment to Ursuline Academy’s mission, core values, and ethical practices in the field of independent school admissions
- Naturally engaging with a warm, open presence; enjoys interacting with people
- Strong organization and follow-through skills; ability to independently establish and manage multiple and often competing priorities, meet deadlines, and maintain accurate records
- Excellent interpersonal skills coupled with the ability to consistently provide a high level of customer service and responsiveness to students and parents while demonstrating a balance of warmth, professionalism, and accuracy
- Enthusiastic about education for girls
- Ability to be a collaborative team player who works well independently, takes initiative, embraces feedback, is adaptable and solution-oriented
- High integrity and discretion in handling sensitive information
- Competence in technology; proficient in working with Microsoft Office 365 and other computer applications
