Key Responsibilities:
1. Collection Management:
- Assisting in the cataloging and documentation of artwork into the database.
- Maintains accurate records of the collection, including acquisition details, provenance, art location, valuation, and condition reports.
- Generating reporting for appraisals, fine insurance reviews, deaccessioning, presentations, and any other necessary collection activity requiring reports of the collection.
2. Inventory and Condition Reporting:
- Coordinating scheduled inventory checks of the collection for location accuracy including on-site and off-site storage facilities.
- Conducting condition and acquisition/deaccession assessments of artworks and artifacts using conservation best practices and report findings.
- Documenting artwork by photographing them and uploading them to the database
3. Data Entry and Management:
- Inputting and updating collection management databases with object information such as artwork details, condition, location, and provenance.
- Ensuring that all digital collection documents are complete and organized within all relevant suppository filing systems.
4. Collaboration:
- Providing team dynamics by working closely with the Art Manager, third-party vendors and the client to execute collection-related projects.
- Providing oversight of third-party vendors working on-site, supporting access and recording work activity.
- Working with internal management teams to fulfill work order requests
5. Exhibition Support:
- Assisting with the planning, organization, and installation of art exhibitions.
- Assisting with design layout of exhibitions.
- Coordinating loan agreements, condition reports and tracking incoming and outgoing loans of artworks.
- Documenting installed exhibitions by photographing them and archiving images into files.
- Supporting programming and communication efforts related to exhibitions.
6. Research and Documentation:
- Conducting research on collection items to enhance records and support exhibitions.
- Curatorial research of exhibitions that are sourcing objects from the collection or loaned.
- Prepare reports and presentations related to collection management.
7. Administrative Support:
- Assisting with budget tracking and procurement related to collection care.
- Handling correspondence related to collection inquiries and loans.
8. Compliance and Standards:
- Ensuring compliance with program policies, ethical standards, and legal requirements related to fine art collections.
- Supporting Art Collections operations in integrating best practices in museum registration and collection management in all operations.
Requirements:
- Bachelor’s degree in Art History, Museum Studies, or a related field with 1 - 3 years of professional experience.
- Strong organizational skills and attention to detail.
- Proficiency in database management and Microsoft Office Suite.
- Excellent communication skills, both written and verbal.
- Ability to work collaboratively in a dynamic, team-oriented environment.
Preferred:
- Previous experience in a corporate art collection, museum or cultural institution is preferred.
- Curatorial experience in placing objects in workspace or designing exhibitions.
