Job Description:

We are looking for a highly organized and motivated Fleet and Office Assistant to join our team in Miami. This role will provide critical support to both our fleet operations and office administration, ensuring the smooth running of daily activities. The ideal candidate is detail-oriented, adaptable, and has experience working in a fast-paced environment.

Key Responsibilities:

Fleet Support:

• Assist in coordinating vehicle maintenance schedules, ensuring all fleet vehicles are in optimal condition
• Monitor fleet inventory, including vehicle assignments, usage, and availability
• Manage records for vehicle registration, insurance, and inspections
• Assist with the coordination of vehicle deliveries and pickups
• Work closely with the fleet management team to address any issues related to vehicle performance or driver feedback
• Maintain accurate fleet records, including mileage, fuel usage, and maintenance logs

Office Support:

• Provide general administrative support, including answering phones, scheduling appointments, and handling office correspondence
• Assist with the organization and upkeep of office supplies and equipment
• Help manage incoming and outgoing mail, packages, and courier services
• Coordinate office logistics, including meeting room preparation and event planning support
• Maintain and organize office files, both physical and digital
• Support HR and operations teams with filing, record-keeping, and special projects as needed

Requirements:

• High school diploma or equivalent (associate's degree preferred)
• 1-2 years of experience in office administration or fleet management support
• Strong organizational skills with the ability to prioritize tasks and meet deadlines
• Excellent communication and interpersonal skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Basic knowledge of fleet management or vehicle maintenance is a plus
• Ability to multitask and work in a fast-paced environment
• Must be detail-oriented and have strong problem-solving skills
• A valid driver's license and clean driving record
