Job Description:
As a Talent Acquisition Coordinator, you will support recruiters in the recruitment process, focusing on the critical yet tactical steps including interview scheduling, candidate travel, applicant tracking system data entry, and other required workflow tasks.
Key Responsibilities:
- Contact candidates within 24 hours of receiving a schedule request. Arrange domestic (and sometimes international) travel, accommodations, and process expense reimbursements as required.
- Send interview evaluation forms to the interview team 48 hours prior to interviews. Ensure schedule accuracy and send interview schedules to the team and candidate at least 3 days in advance. Provide continuous updates to recruiters and engage them when obstacles arise.
- Ensure interview schedules and receipts comply with federal mandates (e.g. Sunshine Act & OFCCP requirements).
- Update ATS (Smart Recruiters) candidate statuses and upload interview schedules.
- Regular interaction with hiring managers and administrative assistants across all levels, including VP and C-Suite admin staff.
- Process pre-employment screens through completion, including background and drug screens.
- Provide high-touch customer service to candidates, hiring managers, and administrative staff, ensuring a positive candidate experience.
- Share current scheduling volume weekly and assist colleagues when necessary to ensure an evenly distributed workload.
- Personally escort candidates through their interview day, ensuring a world-class candidate experience.
Qualifications:
- Bachelor’s degree preferred (Human Resources or related field).
- Recent grads who have completed an HR internship in a large corporation and demonstrate professionalism are encouraged to apply.
- Associate’s degree required, preferably in Human Resources or a related field.
- Minimum of 2 years of experience in staffing coordination or an HR environment.
- Excellent communication & organizational skills to interact with personnel at all levels.
- Strong customer service skills including phone etiquette, attention to detail, and follow-up.
- Ability to handle multiple tasks, prioritize workload, and work efficiently.
- Proficiency in databases and MS Office products.
