Job Summary
We are seeking a friendly and organized Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires excellent communication skills, a professional demeanor, and the ability to multitask effectively in a fast-paced environment.
RESPONSIBILITIES
Supervision
· N/A
Administrative
· Manage the reception area with professionalism to ensure high quality customer service
· Greet people and visitors who enter the office and communicate with them in a pleasing manner and positive attitude
· Answer all incoming calls, redirect incoming calls, take phone messages
· Keep front desk in ord
· Receive and distribute letters and packages arriving to the office
· Send “Thank you” letters
· Assist in purchasing office supplies and furniture
· Assist with requests for office maintenance or office equipment, including copiers, printers, and phone
· Provide administrative assistance (filing, creating folders, keeping track of assistance requests)
· Assist with typing lesson plans or other program/office documents
· Maintain program statistics
· Assist with scheduling appointments for Immigration and Peer Support services
· Provide information to clients and answer queries of people who call to the organization or information seekers about the organization and its programs/services
Training
· Provide training to program staff on equipment utilization
Outreach
· Create outreach materials
QUALIFICATIONS
Knowledge
· Education and Training — Knowledge of office equipment and Microsoft office suite
· Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services.
· Administration and Management — Knowledge of business and management principles
