Position Summary:
Project documentation, filing, process and billing
Primary Duties and Responsibilities:
- Manage office duties including, typing, correspondence, materials ordering, projects filing, uploading information in the maintenance system, billing
- Work with the Project Manager and the Maintenance Manager on different administrative tasks as needed
- Maintain tracking file for each project to determine completeness. Produce correspondence between US Water and the client.
- Generate activity numbers using excel spreadsheets to track progress and productivity.
- Performs other duties or special projects as requested related to the area of responsibility.

Education/Experience:
- Graduation from high school or GED plus two years of responsible full-time experience in an administrative capacity, including billing
- Must demonstrate excellent verbal and written communications skills as evidenced by the ability to interact both face-to-face and via telephone with professional personnel.
- Ability to interpret and analyze contract documents and utilize Microsoft Excel to a high degree.
- Ability to effectively coordinate materials ordering with project deadlines.
- Ability to maintain strict confidentiality.
- Ability to maintain flexibility, work with frequent interruptions and manage multiple, diverse work tasks simultaneously in a fast-paced environment while meeting deadlines.
- Ability to apply organizational skills, office management practices and procedures, and prepare and maintain reports and record keeping systems within established timeline
- Ability to use personal computer software with word processing, spreadsheet and database applications (typing 50 wpm required).
- Requires moving up to 25 pounds of paper, documents.
- Traveling 5% of the time may be required for this position.
- Must possess or be able to obtain a valid Florida driver's license.
