Job Description:
The Part-Time Accounting Associate will be responsible for managing American Express expenses and overseeing accounts payable processes. This individual will play a key role in ensuring that all transactions are recorded accurately, accounts are reconciled, and expenses are processed in a timely manner. The ideal candidate will have experience with expense reporting, managing vendor relationships, and maintaining financial records for non-profit organizations.
Key Responsibilities:
- American Express Expenses Management:
- Track and categorize all American Express transactions.
- Reconcile American Express statements to internal records monthly.
- Ensure compliance with USA Cares policies for American Express use and company budgets.
- Address discrepancies or issues related to American Express charges and resolve them promptly.
- Prepare monthly reports on American Express expenditures and submit for review.
- Accounts Payable:
- Process all accounts payable transactions, including invoices and bills, in a timely manner.
- Maintain an organized system for tracking vendor payments and outstanding balances.
- Communicate with vendors to resolve any payment discrepancies or inquiries.
- Assist with the preparation of annual financial statements by ensuring that all accounts payable records are accurate and complete.
- Ensure that payments are made in accordance with organizational policies and deadlines.
- General Financial Support:
- Assist with other accounting tasks as needed, including budgeting, financial reporting, and audit preparation.
- Ensure compliance with relevant financial regulations, policies, and internal controls.
- Maintain confidentiality of sensitive financial data and ensure data integrity.
Qualifications:
- Proven experience as an accountant, bookkeeper, or in a similar financial role, ideally with experience in American Express expense tracking and accounts payable.
- Familiarity with accounting software (QuickBooks, Xero, or similar) and Microsoft Excel.
- Knowledge of non-profit financial management practices is a plus.
- Strong attention to detail, accuracy, and organization.
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication skills, both written and verbal, to interact with vendors, internal teams, and management.
- Demonstrated ability to work independently and as part of a team.
- A degree in Accounting, Finance, or a related field is preferred but not required.
