Responsibilities
Makes arrangements for conferences including space, time and place which includes scheduling and set up coordination of the Strada Conference Center and verifying with requesting party; including coordination ensuring that every event is set up properly and runs smoothly; manages mails services including distribution and sorting into designated mail boxes; performs work with a considerable amount of independence with compliance to all applicable rules, policies, regulations or specific instructions; assists Associate Director with USA Health move requests for departments; instructs and demonstrates employees in the use of equipment and proper cleaning procedures; attends meetings and seminars both internally and externally to further managerial knowledge and skills; maintains communication and acts as liaison between all shifts and departments in order to ensure a smooth operation and continuity of work; inspects and evaluates the physical condition of the building, grounds and reports necessary work orders, furnishings, etc. to improve sanitation; participates in the improvement of quality by frequently walking through the facility, crouching and stooping to inspect performance and correcting problems when identified; assists in planning, revising and coordinating all operative and departmental policies and standards in conjunction with Department management; responsible for insuring supplies and equipment available for employees supervised; prepares daily assignment schedules to include established routines, as well as special areas to be cleaned; responsible for processing invoices and payments of contract services and other related items; plans, initiates, and carries to completion secretarial, clerical and administrative activities; interprets and enforces policies and procedures pertaining to building operations and safety; assists in ensuring operational compliance with university policies, ADA, OSHA, federal, state & local regulatory guidelines; act as on-site contact for volunteers in conjunction with USA Health volunteer department; interfaces with community groups for tours and services; communicates and uses appropriate customer relation skills with physicians, patients, families, healthcare team and staff in person and via telephone; communicates via telephone, pages, public address system, and in person; maintains accurate and complete records by: appropriately documenting work completed by staff related to their performance, training and project completion; completing inventory records of supplies, hazards wastes logs, etc.; assessing equipment needs and repairs; reviewing time and attendance for appropriate actions; accepts and completes all duties positively and without conflict; cooperates, helps others and improves the performance of the unit; completes all mandatory unit, educational and hospital requirements; utilizes cost effective practices in performing all aspects of the job; adheres to current Infection Control and Safety Standards; ability to work schedule as defined and overtime as required; related duties as required.
Qualifications
High school diploma or equivalent and four years of related experience. Higher education from an accredited institution as approved and accepted by the University of South Alabama may substitute on a year for year basis for the required experience.
