Job Summary:
The Coordinator, National Team Operations, is responsible for coordinating all logistical and administrative elements of international and domestic events for the National Junior Team (NJT). This position will work with the Director, National Junior Team, and the National Team (NT) Division staff to provide the highest level of logistical support for NJT and NT international and domestic events. The Coordinator, National Team Operations will work to develop strong working relationships with elite coaches, athletes, and volunteers.
Essential Duties & Responsibilities:
NJT Pre-Competition
- Work with the Director, National Junior Team to develop a timeline for each event, performing site visits when appropriate.
- Research and recommend hotels for competition (when applicable).
- Create air travel plans in consultation with the travel agency and the Director, National Junior Team.
- In consultation with the Director, National Junior Team, develop meal timelines, menus, rooming lists, and other logistics with hotels.
- Establish contracts for air, hotel, ground transportation, and other facility needs.
- Organize team nutrition needs for meals and team room with camp/trip dietitian.
- Work with the Director, Sports Medicine & Science to establish needs for each trip.
- Coordinate logistics and resources with external stakeholders, including additional USA Swimming staff, U.S. Olympic & Paralympic Committee staff, and local organizing committees.
- Send forms and logistical information and establish medium for team communications during camps/trips.
- Develop and maintain a team handbook for all team members.
NJT Competition
- Travel to domestic and international competitions as needed.
- Oversee team room set up and upkeep, including nutrition and recovery items.
- Provide support to volunteer managers and dietitians.
- Coordinate staff delegation for doping control.
- Efficiently and effectively respond to challenges as they arise on a trip.
- In consultation with the Director, National Junior Team, compose post-competition surveys for athletes and staff.
- Assist with all accounts payable and receivable for camps/trips, per diem, reimbursements, and payments as needed.
NJT Program Support
- Assist with the NJT roster, reviewing selection and publishing the roster in coordination with the Communications department.
- Develop the NJT Coaches list in consultation with the Director, National Junior Team.
- Collaborate on curriculum and calendar development for NJT programming.
- Oversee the logistical support of NJT athlete, parent, and coach education.
- Coordinate NJT communications (handbooks, newsletter, etc.).
- Communicate NJT rosters, camps, etc. to the Sport Development Division.
NT Division Event Support
- Provide logistical support for other NT Division events as needed, including, but not limited to:
- NT Coaches Seminar
- NT Specialty Camps
- NT led Committees
- NT and NJT Open Water Trips
- Assist with additional purchasing for the division, as needed.
- Other duties, as assigned.

Education & Experience:
- A bachelor’s degree in sports management, related field, or equivalent.
- Minimum 1-2 years’ experience in event planning.
- Experience working for a non-profit or National Governing Body preferred.
- Experience working in the sports industry, specifically swimming, preferred.
Physical Requirements:
- Must be able to travel, both domestically and internationally, up to 20% of the year.
- Must be able to lift up to 25 pounds.
- This position works in an office setting in the USA Swimming headquarters in Colorado Springs, CO; must be willing to relocate to Colorado Springs, CO, or the surrounding area).
Salary & Benefits:
- Salary range for this position is $24.00-$28.00 per hour.
- Bonus Eligibility: Based on company performance, this position may be eligible for an annual bonus target of 5%.
