  • The Whereabouts and Compliance Coordinator will work with USADA's legal team to gather information related to unsuccessful attempts to collect urine and blood samples from high-level athletes. Maintaining confidentiality is a crucial part of this exciting role. Some of the responsibilities will include compiling, reviewing, and summarizing data from multiple databases, drafting letters from templates, data entry, managing multiple inboxes, maintaining accurate records, communicating with athletes, as well as assisting with general administrative duties. The role will also assist with weekly reporting requirements to the USOPC.

    This role's duties will allow the Whereabouts Compliance Supervisor to make appropriate and timely decisions as to whether an unsuccessful attempt should be elevated to a potential whereabouts failure and provide cross-functional support for the Olympic & Paralympic and Client Services teams. This role is critical to USADA's ability to meet required deadlines under our regulatory requirements.

    JOB SUMMARY : This detail-oriented coordinator will be responsible for maintaining established processes for the Olympic and Paralympic, and Professional Fighting League (PFL) programs with an emphasis on whereabouts and testing. The Whereabouts and Testing Programs Coordinator will support the Whereabouts Program, Olympic & Paralympic Programs, and Client Services teams to provide superior service to athletes and ensure WADA compliance. Additionally, this team member reports on athlete compliance with whereabouts requirements to all relevant stakeholders including athletes, the PFL, the United States Olympic and Paralympic Committee (USOPC), International Federations (IFs), and the World Anti-Doping Agency (WADA).

    RESPONSIBILITIES

    • Provides prompt and superior customer service to USADA's clients, athletes and athlete personnel.
    • Obtain and maintain an expert level understanding and knowledge of the applicable rules (World Anti-Doping Code, International Standard for Results Management (ISRM), USADA Whereabouts Policy, the PFL Anti-Doping Policy, and PFL Whereabouts Policy).
    • Process incoming unsuccessful attempt report forms and provide a detailed summary of the unsuccessful attempts to ensure accurate review for Compliance Warnings.
    • Gather documentation necessary for review of potential Whereabouts Failures or Compliance Warnings.
    • Oversee multiple email inboxes, filing and distributing information to the appropriate contacts.
    • Compile, maintain, and update testing records in various databases by required deadlines.
    • Assist with the preparation and coordination of mailing and correspondence to athletes and other relevant stakeholders.
    • Assists with test session review and compliance monitoring.
    • Responsible for paperwork entry.
    • Deliver weekly, quarterly, and annual reports to the Whereabouts Compliance Supervisor, the Olympic and Paralympic testing team, and the USOPC.
    • Update and manage whereabouts failure information in USADA's databases and WADA's database. Ensure data quality and compliance with WADA Code and International Standards.
    • Accurately draft and send formal notifications to athletes and stakeholders of potential and final Whereabouts Failures and Compliance Warnings.
    • Manage inquiries and send deadline reminders to athletes and NGBs as necessary.
    • Support entry of text and email whereabouts updates submitted by athletes.
    • Provide prompt and superior quality customer service to athletes, athlete support personnel, National Governing Bodies (NGBs), IFs, WADA, USOPC, and the PFL.
    • Regularly track measurable objectives and other measures of success and adapt tactics accordingly to ensure we are executing a gold standard program under the World Anti-Doping Code and PFL Anti-Doping Policy.

    • REQUIRED QUALIFICATIONS

    • Minimum of four (4) years applicable experience or a BA / BS degree in Legal Studies, Business Administration, Sports Management, or a related field.
    • Demonstrated ability to assess data and drive efficiencies and solutions toward team projects and goals.
    • Excellent organizational skills and attention to detail.
    • Ability to multi-task, working on multiple projects at one time.
    • Strong grammar and proofreading skills.
    • Strong verbal and written communication skills.
    • Strong time management skills and the ability to meet required deadlines.
    • Ability to provide exceptional customer service.
    • Ability to partner with others across the organization to meet various needs.
    • Able to effectively communicate with internal and external stakeholders.
    • Ability to work flexible hours as needed.
    • Moderate proficiency in Microsoft Office Suite, in particular Word and Excel.
    • Moderate proficiency in Adobe Acrobat.
