Administrative Assistant to the Assistant Superintendents
Reports To: Assistant Superintendent of Schools
Salary Range: 19.00-26.34
Qualifications:
Diploma from a standard high school or equivalent. Three (3) years experience in clerical or secretarial work. Candidates must possess excellent computer, organizational, and communication skills. Bilingual is a plus, but not required. Demonstrated knowledge of Microsoft Office Word, Excel, PowerPoint, and Google Drive Docs, Forms, Gmail, and Sheets.
Purpose:
The Administrative Assistant to the Assistant Superintendent performs highly responsible, complex duties and is responsible for managing daily administrative tasks within the office environment, including answering phones, scheduling meetings, managing calendars, organizing files, preparing correspondence, and providing general support to the Assistant Superintendents.
Essential Responsibilities:
- Manages the operations of the Assistant Superintendent’s office
- Receives and screens calls and answers inquiries
- Initiates and composes correspondence of a routine and/or complex nature and handles non-routine matters, as required
- Can prioritize multiple tasks, work effectively under stress, meet short deadlines and take direction.
- Makes decisions based on established procedures and practices and handles administrative details independently
- Coordinates meetings, conferences, and appointments for the Assistant Superintendents
- Compiles data from a wide variety of sources for the purpose of preparing reports, making recommendations, and/or preparing information
- Prepares, maintains, and reviews records and reports for accuracy and completeness
- Maintains complex confidential files and records of office correspondence, documents, reports, and other material, including personnel records
- Performs related work as required
- Prepares materials for meetings
- Other duties as assigned
Physical Requirements/Environment Conditions:
Requirements may include prolonged sitting or standing, climbing stairs, stooping, bending and reaching; also includes travel.
Evaluation:
Will be evaluated by the Assistant Superintendent in accordance with the Board of Education’s policy.
