Job Summary
A skilled Office Administrator/Receptionist to manage daily operations at our office building. This role serves as the first point of contact for visitors while handling administrative functions essential to maintaining a productive work environment.
RESPONSIBILITIES
Reception Duties
- Answer and direct incoming phone calls professionally
- Greeting and assisting visitors in a courteous manner
- Collect, sort, and distribute incoming mail and packages
- Maintain a clean and organized reception area
Office Management
- Order and stock office supplies, coffee, snacks, and other consumables
- Monitor inventory levels and anticipate needs before shortages occur
- Process supply orders and maintain vendor relationships
- Organize and maintain storage areas for supplies
- Maintain an active list of employees who work in the building
Space Management
- Track and process interdepartmental requests for office space usage and assignments
- Maintain an updated system for monitoring office space allocation
- Review and approve space usage requests according to established guidelines
- Coordinate with department heads to understand changing space requirements
- Create and distribute reports on space utilization and availability
- Ensure proper documentation of all space-related decisions and changes
Facility Coordination
- Schedule and coordinate maintenance contractors for building repairs and upkeep
- Manage the building alarm system and security protocols
- Manage the building access; distribution and collection of key fobs
- Maintain records of all facility maintenance activities
- Serve as the point of contact for facility-related issues
- Coordinate with contractors to ensure timely completion of work
Administrative Support
- Assist with basic administrative tasks as needed
- Maintain organized filing systems (physical and digital)
- Coordinate meeting room bookings
- Support office events and activities when required
Required Skills
- Excellent communication and interpersonal abilities
- Strong organizational and multitasking skills
- Proficiency with office technology and software (MS Office, email, etc.)
- Detail-oriented with problem-solving aptitude
- Professional phone etiquette
- Basic understanding of office equipment (printers, copiers, etc.)
Experience
- Previous reception or administrative experience preferred
- Experience managing office supplies and vendor relationships
- Background in coordinating maintenance services a plus
- Experience with space management or allocation systems beneficial
