Job Summary
A skilled Office Administrator/Receptionist to manage daily operations at our office building. This role serves as the first point of contact for visitors while handling administrative functions essential to maintaining a productive work environment.

RESPONSIBILITIES

Reception Duties

  • Answer and direct incoming phone calls professionally
  • Greeting and assisting visitors in a courteous manner
  • Collect, sort, and distribute incoming mail and packages
  • Maintain a clean and organized reception area

Office Management

  • Order and stock office supplies, coffee, snacks, and other consumables
  • Monitor inventory levels and anticipate needs before shortages occur
  • Process supply orders and maintain vendor relationships
  • Organize and maintain storage areas for supplies
  • Maintain an active list of employees who work in the building

Space Management

  • Track and process interdepartmental requests for office space usage and assignments
  • Maintain an updated system for monitoring office space allocation
  • Review and approve space usage requests according to established guidelines
  • Coordinate with department heads to understand changing space requirements
  • Create and distribute reports on space utilization and availability
  • Ensure proper documentation of all space-related decisions and changes

Facility Coordination

  • Schedule and coordinate maintenance contractors for building repairs and upkeep
  • Manage the building alarm system and security protocols
  • Manage the building access; distribution and collection of key fobs
  • Maintain records of all facility maintenance activities
  • Serve as the point of contact for facility-related issues
  • Coordinate with contractors to ensure timely completion of work

Administrative Support

  • Assist with basic administrative tasks as needed
  • Maintain organized filing systems (physical and digital)
  • Coordinate meeting room bookings
  • Support office events and activities when required

Required Skills

  • Excellent communication and interpersonal abilities
  • Strong organizational and multitasking skills
  • Proficiency with office technology and software (MS Office, email, etc.)
  • Detail-oriented with problem-solving aptitude
  • Professional phone etiquette
  • Basic understanding of office equipment (printers, copiers, etc.)

Experience

  • Previous reception or administrative experience preferred
  • Experience managing office supplies and vendor relationships
  • Background in coordinating maintenance services a plus
  • Experience with space management or allocation systems beneficial
