Job Summary
This
position provides administrative support to the MEC K-12, teacher and public
educational programs and the Gulf Coast Research Laboratory Summer Field
Program. Assists MEC Director, Associate Director, and Financial Coordinator with
management and coordination of all University policies and procedures as they
pertain to the Center and serves as liaison between this office and other
University departments. The position administers interactions with group
leaders of public programs. The position develops and implements departmental
procedure regarding revenue finances, managing purchasing and credit card
reconciliation, inventory control, travel forms, personnel processes, and
recordkeeping. The position coordinates logistical support of the MEC volunteer
program.
Primary Duties and Responsibilities
- Reconcile and assist with fiscal administration for the department/unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning.
- Maintain an efficient system of receiving, posting, and depositing revenue and receiving, verifying, posting, and processing vouchers for payment of goods and services.
- Prepare requisitions for purchases; communicate with vendors for prices, bids, and other information.
- Gather data for budget preparation and inventory reports; prepare or assist in the preparation of the annual budget, and procure all supplies, furniture, and office equipment. Maintain files and records in support of accounting data.
- In conjunction with management, coordinate with group leaders on providing quotes for educational programs. Process payments using the appropriate methods and perform related duties as assigned.
- Coordinate the MEC volunteer program by organizing training and schedules while maintaining an up-to-date database of volunteer status, work hours, and records in accordance with university policies; and performs other duties as assigned.
