Job Purpose: Receiving and Mailroom clerk assuming distribution functions of the Mailroom and Receiving. Manage the incoming and outgoing of packages and mail to provide most cost-effective levels and space utilization without compromising service expectations.
Education & Qualifications: College Degree preferred. Minimum of HS Diploma or GED. Must have valid Texas Driver’s License, Class C minimum.
Work Experience: Minimum 1-2 years materials handling or related experience. Preferred experience in healthcare supplies, Supply Chain Management, and Inventory Management, excellent organizational and Time Management Skills, task and detail oriented, excellent verbal and written.
Physical Demands & Working Conditions: Requires full range of body motion including manual finger dexterity and eye-hand coordination. Frequent standing and walking for extended periods of time. Lifts and carries items weighing up to 50 pounds. Requires visual acuity and normal color perception.
Special Requirements: Verbal and writing ability required to communicate effectively in informing employees of activities and policies. Numerical ability required. Ability to receive, comprehend, and carry out instructions; ability to work safely with equipment, supplies, and materials; ability to comply with attendance requirements; ability to comply with Human Resource policies.
Essential Job Responsibilities:
•Actively demonstrates the organization’s mission and core values and conducts oneself at all times in a manner consistent with these values.
•Knows and adheres to all laws and regulations pertaining to patient health, safety and medical information as they relate to product handling and distribution.
•Receives incoming shipments of supplies and equipment from vendors and freight companies; unloads shipments from delivery truck by hand and/or using push carts as required.
•Inspects items visually in order to verify accuracy and condition of shipments received from vendors, and compares number of items, description and code numbers with information on packing slips. Records and/or reports discrepancies or damaged/defective merchandise before signing receipt or invoice. Locates purchase order from Buyer/Manager for merchandise arriving without purchase order number.
•Ships damaged or incorrect material to vendor for credit, repair or replacement.
•Operates a variety of mechanical equipment such as electric pallet jack and handcart to move equipment/stock to appropriate locations.
•Responds to inquiries regarding delivery of supplies/shipments from vendors. May initiate contact with vendors regarding shortages and/or back orders. Receives and processes requisitions for supplies held in inventory and assembles and delivers supplies requested.
•Stores supplies and equipment according to established storage locations (i.e., shelf, bin, and so forth) and inventory cycling procedures.
•Maintains departmental files of packing slips, purchase orders, and other related records, retrieving records as requested to assist in resolving invoice discrepancies and related problems.
•Deliveries non-stock orders to departments and obtains signature on all delivery documents.
•Occasionally requires contact with patients and/or visitors, which involves ordinary courtesy.
•May be required as needed to work weekends.
•Assigned hours within your shift, starting time, or days of work are subject to change based on departmental and/or organizational needs.
•Mailroom functions include accurately sorting incoming; compiles and maintains accurate information of all incoming mail tubs and packages as required.
•Operates and maintains mailroom equipment; processes outgoing shipments; and offers customer service to internal customers by providing postage, mail delivery and proper packaging materials instructions, while meeting constant deadlines.
•Wears proper identification while on duty.
