The Role
Year Round
- Provide efficient and effective administrative support including but not limited to: (i) calendar, email and expense management; (ii) travel planning; (iii) meeting & conference call coordination; (iv) preparation of correspondence and reports as required; (v) archiving documents in accordance with USTA policies;(vi) budget and invoice management; (vii) contract management and (viii) WP based staff attendance reports.
- Oversee maintenance and accuracy on a timely basis of Professional Tennis Operations’ “master lists” such as integrated professional tennis calendars, travel schedules, and meeting schedules (internal and external)
- Manage and maintain all Pro Tennis electronic data via Google Drive and Pro Tennis Operations internal network drives.
- Work with Finance Department in the processing, tracking of receivables and payables to assist in expediting signatures for USO Tour Ops and Player Services
- Assist with Grand Slam benchmarking document
- Assist with Memorabilia and signed items
- Monitor and respond to US open player relations inbox
- Create slide decks and presentations, memos and other collateral materials
- Assist Manager, Pro Tennis Operations with operational plan documents
- Coordinate all US Open trophy needs including the whereabouts of the US Open replica trophies, securing the perpetual trophies from the Hall of Fame for the US Open display, and ordering US Open trophies.
- Assist pro tennis team with projects as needed
US Open
- Coordinate US Open gifting, charitable memorabilia database where requested.
- Secure accreditation, reserve hotel rooms, extend invitations and arrange transport for business guests and colleagues of Pro Tennis Operations Team where requested.
- Organize and create physical and digital signage
- Organize and distribute keys to all offices and spaces within the player operation
- Assist with player gifting plan
- Order printers, computer and copiers for player operations
- Track and send VISA support letters
- Uniforms - maintain inventory
- Book staff hotels for US Open
- Maintain Final Club 8 database
- Assist with tracking ITIA and Safeplay for seasonal US Open team
- Prepare and submit contracts for the US Open Medical Staff, and collect and track TIU and SafeSport certificates
Who You Are
- Team player with executive assistance and project management experience (1-3 years in sports / entertainment preferred).
- A self-starter who demonstrates the ability to work in a fast pace environment with agility, problem solving, planning, tracking and time management skills.
- Collaborative interpersonal skills with an ability to communicate effectively and develop rapport with multiple internal and external stakeholders.
- Excellent PC skills in Excel, MS Word, PowerPoint, search, Concur and Google required.
- Superior written, verbal, research and report communication skills.
- Live event experience and fluency in a foreign language is a plus.
- Knowledge of professional tennis (players, tournaments, organizations, etc.) is a plus.

- Position is considered non-exempt.
This position is works onsite at the Purchase, NY office (Tues-Thurs; part-time). Must be capable to work 40 hours per week during the US Open. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time.
What We Offer
The expected hourly rate is $25.00 per hour.
