The Sales Operations Specialist is the driving force behind the scenes, ensuring the Inside Sales team remains focused on what they do best?building relationships and generating revenue. By managing key post-sale processes and operational tasks, this role makes the magic happen, keeping operations smooth and efficient. Whether it?s processing and troubleshooting orders, managing internal workflows, or delivering crucial business insights through reporting and analytics, the Sales Operations Specialist plays a pivotal role in creating a seamless experience for both the team and our customers, ultimately fueling growth and success.
Responsibilities
Efficiently and accurately handle order processing for EDI, VMI, COI, Blanket Releases, and inbound customer orders.
Manage web activity, respond to inbound phone calls, and ensure that all customer interactions are handled professionally and promptly.
Provide direct support to website-based customers.
Assist with all website activities including quotes, orders, and contact forms.
Assist the Inside Sales Team by providing reporting support and ensuring quick and accurate entry of orders.
Provide sales and business analytics to drive insights for better decision-making.
Identify and communicate ideas for continuous improvement of processes.
Ensure efficient handling of daily operations, including, but not limited to order entry, troubleshooting, order status updates, tracking, RMAs, vendor correspondence, and data entry.
Utilize available tools consistently, accurately, and promptly including company ERP systems and other Customer Relationship Management (CRM) software to document all customer activity. Similarly, utilize other in-house tools such as the company website, freight tracking tools, customer and vendor portals to efficiently execute routine job tasks.
Collaborate closely with cross-functional teams, including Sales, Purchasing, Finance, Operations, Engineering, and Product Line Management to ensure seamless communication and coordination of activities related to customer orders and account management.
Maintaining a high level of productivity in day-to-day operations.
Become familiar with customers? proprietary purchasing systems and assisting with RFPs and Special Supply Chain requirements from established accounts.
Represent the organization with professionalism, integrity, and a customer-centric approach at all times.
Requirements/Key Experiences
Excellent verbal and written communication skills.
Strong understanding of sales operations, tools, and processes.
Ability to maintain accuracy in order processing, reporting, and customer communications.
Ability to work well in a team environment with a strong customer service orientation.
Ability to interface with Suppliers, Purchasing, Marketing, Sales, and Engineering concerning pricing, availability, and sourcing issues.
Demonstrated time management and organizational skills, including an ability to prioritize, plan, and manage multiple projects simultaneously.
Tenacity and trouble shooting ability to overcome obstacles to meet company goals.
Strong computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) and CRM experience preferred.
