What are the responsibilities and job description for the Division Support Assistant position at UT Medical Center?
Summary:
Support the UTMC Information Technology Division through a variety of administrative and operational duties. Utilize in-depth proficiency with e-mail, word processing, spreadsheet, database/data entry, and presentation/graphics software. Manage sensitive information and maintain confidentiality as required by the role. Effectively coordinate and manage multiple tasks and initiatives. Collaborate with individuals and groups within and outside the IT Division and throughout the organization. Assist IT Leadership Team with expense tracking, reimbursement management, recruitment activities, and other administrative tasks. Oversee the daily administrative operations of the IT Division. Manage a diverse workload, and consistently deliver complete and accurate work products.
Qualifications:
- In-depth knowledge of office practices, procedures and equipment, calendaring, receptionist and telephone techniques, and letter and report writing.
- Working knowledge of personal computer-based software programs that support this level and type of work.
- Intermediate to advanced skills using word processing, email, spreadsheet, database/data entry, presentation/graphics, and other standard business software and solutions.
- Experience performing complex administrative support work with speed and accuracy.
- Experience coordinating schedules and meetings for senior leaders.
- Excellent written and verbal communications skills.
- Ability to effectively communicate with a wide range of contacts within and outside the IT Division with courtesy and professionalism, and in a manner that reflects positively on the division and UTMC.
- Ability to manage sensitive information and maintain confidentiality.
