Overview
The Grants Operations Manager of University Health System, Inc. (UHS) will report to the VP of Chief Government Relations and Grant Officer (CGRGO) and is responsible for overseeing the day-to-day administration of grants and funding opportunities throughout the medical center. This includes working with others to help secure grants and manage the full lifecycle of grants, from pre-award activities to post-award compliance and reporting. The Grants Operations Manager ensures that all grant-related processes and policies align with the hospital’s mission, financial goals, and regulatory requirements. This role requires strong project management, financial oversight, and communication skills to work effectively with external sponsors, hospital departments, and research/development teams.

Grant Lifecycle Management:
- Oversee the grant application process, including identifying funding opportunities, preparing proposals, grant applications working with consultants and ensuring timely submissions.
- Ensure all required documentation for grant proposals is prepared and complies with guidelines, policies, and relevant regulations.
- Work with others to manage the grant budgets, including monitoring expenditures, reconciling accounts, and ensuring compliance with financial regulations and sponsor requirements.
- Coordinate with the medical center departments to ensure proper grant allocation, reporting, and documentation of expenditures.
Post-Award Administration:
- Help to oversee the implementation of awarded grants along with finance, ensuring that deliverables and timelines are met.
- Monitor and track all project milestones, spending, and timelines, making adjustments as necessary to stay in compliance with the terms of the grant.
- Serve as one of the primary point of contacts for internal sponsors, leadership, consultants and research teams regarding grant-funded projects.
- Ensure proper reporting and compliance with regulatory bodies, including submission of financial and progress reports.
Compliance and Risk Management:
- Stay updated on changes to grant regulations and ensure we adhere to federal, state, and private funding agency rules.
- Work with Finance to conduct internal audits of grant operations to ensure compliance with our policies and various requirements.
- Identify potential risks related to grant management and develop strategies to mitigate them.
Team Collaboration and Communication:
- Provide training and support on grant policies, procedures, and compliance issues.
- Collaborate with department heads, consultants, finance teams, and the research team to coordinate grant-related activities.
- Assist in the development of policies, procedures, and systems for improving grant management processes.
- Build and maintain relationships with consultants and partners to support grant opportunities.
Data Management and Reporting:
- Maintain and update the hospital's grant management database and tracking systems to ensure accurate and current records.
- Help to prepare regular reports for hospital leadership on the status of active grants, funding opportunities, and financial performance.
External Relations:
- Participate in grant-related meetings, conferences, and events to stay informed about trends in healthcare funding.
Qualifications
- Bachelor's degree in business administration, public health, finance, healthcare administration, or a related field (required). Master’s degree in a relevant field (preferred).
Experience:
- Minimum of 3 years of experience in grant management, preferably in a healthcare or hospital setting.
- Strong understanding of the grant lifecycle, from pre-award to post-award processes.
- Demonstrated experience in budget management, compliance, and regulatory reporting.
Skills and Competencies:
- Excellent in writing, project management and organizational skills.
- Strong financial acumen and experience managing budgets.
- In-depth knowledge of federal, state, and private funding regulations and compliance standards.
- Effective communication and interpersonal skills to work collaboratively with internal and external stakeholders.
