Job Title: Business Operations Manager
Reports To: Executive Director & Board of Directors
Position Summary: The Operations Manager for Utah Assisted Living Association (UALA) is responsible for overseeing the daily operational functions of the association, including event coordination, membership management, financial oversight, and communication efforts. This role ensures smooth execution of association activities, supports committees, and assists in maintaining organizational efficiency.
Key Responsibilities:1. Administrative & Membership Management:
- Respond to emails, voicemails, texts, and phone calls promptly.
- Maintain and update membership records, process renewals, and communicate with members regarding their status.
- Track and manage membership benefits, sponsorships, and invoicing.
- Assist with organizing and updating association policies and compliance records.
2. Event Coordination & Logistics:
- Organize and execute logistics for training sessions, mini-conferences, and member events.
- Coordinate with speakers, vendors, sponsors, and attendees to ensure successful events.
- Develop event schedules, agendas, registration processes, and participant materials.
- Oversee event setup, logistics, and post-event wrap-up, including reporting and evaluations.
3. Financial Oversight:
- Monitor financial transactions and maintain proper documentation for receipts and expenses.
- Work with the Treasurer and financial committee to track budgets, invoicing, and reporting.
- Process membership and event payments, ensuring accurate financial record-keeping.
4. Communication & Marketing:
- Manage website updates, including membership directories, event information, and partner listings.
- Handle social media and email campaigns to promote UALA events and initiatives.
- Develop and distribute newsletters, event promotions, and key industry updates.
- Maintain UALA’s YouTube channel with recorded training and educational events.
5. Board & Committee Support:
- Assist in organizing board meetings, preparing agendas, and recording minutes.
- Send out meeting invitations and manage board-related communications.
- Support various committees in executing projects and meeting objectives.
6. Compliance & Operational Support:
- Ensure UALA operations align with industry regulations and best practices.
- Maintain association documentation, membership renewals, and reporting standards.
- Assist in implementing internal operational improvements to increase efficiency.
Qualifications & Skills:
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Experience in event planning and coordination.
- Proficiency in website management, social media, and email marketing.
- Ability to manage financial transactions and reporting.
- Familiarity with Utah’s assisted living industry regulations is a plus.
- Experience working with nonprofit associations or professional organizations preferred.
