What are the responsibilities and job description for the Bursar Specialist position at Utah Tech University?
Reporting to the Assistant Bursar, this position works within the business office structure to ensure assigned cashier and student receivables matters are addressed and resolved professionally and timely. Responsibilities include performing a variety of moderately complex accounting, cashiering, and clerical operations requiring the application of accounting/business office practices, policies, and procedures. Additionally, identifies and solves moderately complex problems using analytical and problem-solving skills using independent judgment within established parameters.
- Serves as a primary informational source for the Cashier's Office by providing exceptional customer service using professional verbal and written communication skills when addressing inquiries in person, by telephone, email, and mail.
- Responds to a variety of inquiries regarding general institutional, event ticketing, student account, debt resolution, and refund status questions and directs inquirer to supervisors or other department(s) when appropriate while minimizing the number of times an inquirer is transferred from person to person, or from office to office unnecessarily.
- Prepares bank deposits and manifests and ensure they are ready and complete for pickup for armored car transport to the bank.
- Plans cashier, auxiliary, and department daily cash needs and coordinate cash needs with the bank.
- Serves as a frontline cashier as needed and assists other cashiers with common cashiering duties including verifying and recording deposits, recording and receipting payments, preparing and maintaining daily cash balances, and updating student accounts when appropriate.
- Counsels and advises students and parents regarding tuition payment plans, charges and fees, and financial deadlines.
- Assists in-house collection activities by assisting students, University departments and the public with payments of tuition, past-due accounts, and other accounts receivable.
- Oversees web departmental deposits template setup and maintenance.
- Maintains Frequently Asked Questions on University website for cashiering functions.
- Trains new cashier staff, work-study students, and other campus staff on cashier’s office policies and procedures including depositing and cash handling practices.
- Assist in updating publications, standardized letters, manuals, and forms used in student billing administration.
- Assist patrons purchasing event tickets.
- Perform other duties as assigned.
- Associate's degree, or vocational/technical school degree, required. A combination of college coursework and experience may also be considered.
- At least two years of related bookkeeping and/or cashiering experience required;experience working within higher education preferred.
- Ability to concentrate on details of projects, multitask during numerous interruptions by telephone or walk-in inquirers.
- Knowledge of general office practices and procedures, principles and practices of bookkeeping and accounting.
- Good working knowledge of computer software such as Microsoft Word, PowerPoint, Excel, Desktop Publishing, Internet, basic website design/maintenance, and email. Knowledge of University operating systems such as Banner, Argos, EMS software, etc. is preferred.
- Working knowledge of Banner Student and Banner Finance programs preferred.
- Ability to maintain financial records and preparing routine financial reports and forms.
- Ability to communicate effectively, including very strong verbal and written communication skills with the ability to offer a welcoming, respectful, and safe environment to all groups.
