About the Utica City School District:
The Utica City School District serves a community of approximately 64,500 city residents in an urban and multi- cultural environment with a current enrollment of roughly 9,644 students in its 13 schools __ Proctor High School, Donovan Middle School, JFK Middle School and 10 elementary schools. The District’s greatest asset is its diversity, with more than 50 languages spoken and 16% of students being English language learners.
Elementary - The District’s elementary schools integrate a vibrant curriculum across all grade levels and subject areas, aligning with the New York State Learning Standards. The District is also investing in the realignment of math goals, instruction and curriculum to focus on research-based best practices in mathematics that are proven to increase student performance outcomes. In all subject areas, there is an understanding that developing foundational skills will support students in bridging gaps in learning. Students are provided with a well-rounded curriculum focused on fostering academic and social/emotional competencies that will carry them through their academic career.
Middle School - The focus at the District’s middle schools is to ensure that students are provided with equitable opportunities to successfully transition from elementary to high school. Both middle schools offer opportunities for students to succeed at every learning level, with dedicated classes for English Language Learners and students with disabilities, as well as honors/advanced studies. The Family and Career Sciences and Technology programs have incorporated science, technology, engineering and math topics into each curriculum to help prepare students for the Career and Technical Education opportunities available at the high school.
High School - Proctor High School provides numerous avenues for students to achieve the District’s vision. This is accomplished through supportive and adaptive special education and English language learner programming, a robust honors and Advanced Placement curriculum, and partnerships with post-secondary institutions including Mohawk Valley Community College and Syracuse University’s Project Advance. The District most recently embarked upon a groundbreaking initiative working with community and business partners to create innovative Career and Technical Education programming for its high school students. Proctor’s Naval Junior Reserve Officers Training Corp (NJROTC), music, art and drama programs, along with numerous extracurricular activities and athletics, offer additional avenues to showcase students’ talents and interests and support them throughout their school experience.
DISTINGUISHING FEATURES OF THE CLASS:
This position involves responsibility for tasks requiring care and accuracy in data entry and retrieval of information via a computer. The incumbent manipulates a keyboard and/or mouse to transcribe data from a variety of source documents. In addition, employees perform clerical duties in support of office operations. The activities of employees in this class provide direct support to professional and technical agency staff. The work is performed under general supervision following well defined and structured procedures. Supervision over the work of others is not a responsibility of an employee in this class. Does related work as required.
TYPICAL WORK ACTIVITIES (Illustrative only):
- Operates computer to store, manipulate, and maintain a variety of records;
- Reads source documents and, in accordance with specific program instructions, transcribes selected directly into the computer or disc via a keyboard or mouse,
- Locates proper source data files and makes changes, additions or corrections;
- Searches and retrieves data from computerized records;
- Records requested information on an appropriate form or other document or relays the data to the requester;
- Maintains logs and other controls of source materials associated with data input, output and final format;
- Completes batches of source documents, records specific information on work sheets and indicates completion of the work on the batch;
- Notifies supervisor of any malfunctions or problems;
- Visually compares data previously entered and printed on computer generated copy with source documents to identify and correct errors;
- Sorts and files documents and records;
- Performs routine posting, recording, and coding of information related to the data entry function; Maintains, verifies and generates reports;
- Cleans and maintains external parts of computer equipment, and replaces ribbons, tapes, reels, paper, etc.;
- Prepares a variety of printouts as requested by department staff;
- Produces forms, letters, memos and printouts;
- Inputs data into proper database, spreadsheet or management system into computer or network to create and update records;
- May sort, processes, and files mail, bills, requisitions, and other material;
- Retrieves material from files, performs file searches, and maintains necessary records; Checks and reports and records for clerical accuracy;
- Answers telephone and provides routine information;
- May be responsible for preparing vouchers, requisitions, and a variety of reports;
- Operates copy machine, computer and other related office equipment;
- Uses judgment and experience in making decisions in accordance with established policies and procedures;
- May substitute for other clerical staff members during absences, lunch breaks, and in the event of illness or absence; and,
- Performs a variety of related duties as necessary and as requested.

MINIMUM QUALIFICATIONS:
- Graduation from High School or possession of a High School Equivalency Diploma and one (1) year of clerical experience that involved typing or data entry.
- Applicants must be appointed based on eligilbity list from Civil Service. If not list exists, applicants are appointed provisionally and must pass the civil service exam when it is administered;

- Must comply with Civil Service Law; and,
- Must be a resident of the City of Utica.
