Job Title: Billing Specialist

Essential Functions & Responsibilities:
- Field and Customer Support
- Prepare, scan, and enter journal entries as needed for timesheets and billing preparation
- Prepare proper documentation for billing support and submit invoices to customers
- Perform billing adjustment activities, recycle invoices, cancel invoices, credit memos, and adjust rates
- Process and complete all phone, and email requests and questions including inquiries from subcontractors and field personnel
- Perform payroll adjustments, back pay, com checks, WIP write-offs, and research payroll issues
- Respond to invoicing adjustments/ rejections
- Research and take action on AR reconciliation requests
- Provide "Status of Payment" updates
- Prepare daily closing reports
- Perform basic filing and maintenance of records
- Resolve invoice discrepancies
- Assist field personnel with department processes or training
- Run queries as needed for the field
- Assist any administration assistant, Field Support, Supervision, and/or Management as requested
Minimum Qualifications:
- Must be 18 years of age or older.
- Possess knowledge of secretarial and office administrative procedures.
- Possess critical thinking skills to be able to evaluate and solve problems with some supervision.
- Excellent command of the English language.
- Must be detail-oriented and accurate.
- Professional and positive demeanor.
- Ability to thrive in a team environment.
- Communicates effectively with all levels of internal and external personnel.
- A high degree of interpersonal skills to handle sensitive and confidential situations demonstrated poise, tact, and diplomacy.
- Analysis skills to be able to evaluate and analyze disparate sets of data.
- Proficient with MS Office (Outlook, Word, Excel, Access).
- Must be able to operate basic office equipment (copier, scanner, calculator).
- PeopleSoft experience preferred.
- Maintains confidentiality of sensitive financial information.
- Ability to take initiative, use discretion, and independent judgment.
Education & Experience:
- 2-year degree in Business or related field OR equivalent work experience required.
Pre-Screen:
- Upon offer, employees may be required to complete and pass a pre-employment drug screen, background, and/or MVR check.
License & Certifications:
- A valid Driver's License is preferred but not required.
Physical Requirements:
- RARE (less than 10%): stooping, crawling, climbing poles, climbing ladders, kneeling, squatting, body twisting, seeing distant, climbing on/off the truck, gripping, lifting over 10 lbs. to 50 lbs., pushing, pulling, lifting up to 50lbs.
- OCCASIONAL (up to 33%): balancing, climbing stairs, standing walking, sense of touch, manual dexterity, reaching, range of motion, lifting, carrying, lifting up to 10lbs
- FREQUENT (up to 66%):
- CONTINUOUS (up to 100%): Seeing, speaking clearly, sitting, reading, hearing – speech range, depth perception, color vision.
Safety:
Due to the inherently dangerous nature of the industry and requirements to work with or around hazardous equipment, employees must have sufficient eyesight to judge distance/coordination of equipment and tools, be able to maintain attention and concentration for extended periods, be able to withstand exposure to all kinds of weather while completing work assignments, be able to wear personal protective equipment as necessary, be able to enter and exit a vehicle numerous times a day, have the endurance necessary to traverse various terrain, be capable of performing job duties throughout a standard 8- or 10-hour day, be able to communicate with others, read, write, and comprehend written/verbal job instructions and information, and communicate and handle conflict professionally.
- Work in all temperatures and will be exposed to nature i.e., irritating plants and biting or stinging insects.
- Works near energized parts or equipment.
- Exposed to traffic.
- Works around excessive noise from machines, jackhammers, gas drills, and other equipment with proper hearing protection.
