JOB SUMMARY
Under the direction of Medical Staff Services Manager, the Medical Credentialing Coordinator performs practitioner appointment, privileging and/or reappointment services in compliance with the UVA Health Credentialing Verifications Office (CVO) and Medical Staff policies and procedures, the guidelines of the Joint Commission (TJC), as well as all other applicable state and federal laws. Responsible for creating and maintaining provider credentialing files within the credentialing database, verifying practitioners have met appointment, reappointment and privileging requirements and are eligible for the staff/allied health category requested. Prepares and tracks documentation through the review and approval process; initiating and mailing approval letters and updating the database upon final approval by the Board of Trustees. Prepares for and may participate in Division and Departmental meetings. May assist in preparation of agendas and/or minutes. Ensures maintenance of practitioner credentials within the database which may include managing all expirables. Provides support to physicians and other members of the Medical Staff Services office in the application and credentialing process; acts as liaison with physician departments, practices and other departments. Provides support to the Medical Staff Office processes which may include maintaining and distributing the monthly medical staff calendar; managing room bookings and catering arrangements for all medical staff meetings.
Communications: Communicates effectively with all levels of hospital staff and visitors.
- Greets and assists visitors to the department.
- Answers all incoming telephone calls and provides accurate information as needed.
- Attends assigned meetings, records minutes, and maintains meeting attendance records.
Administration and Event Management: Ensures the administration and smooth running of departmental business.
- Maintains calendars for executives and leaders.
- Maintains an organized filing system to easily access information as needed.
- Arranges and provides operational support for meetings and/or events, as well as conferences, conference calls, and video conferences.
- Plans and coordinate travel arrangements as needed.
Financial Management: Works with staff and vendors to collect and submit invoices.
- Collects invoices for department services, if applicable.
- Files Expense Reports.
- Submits requests for disbursement to Accounts Payable.
Supplies Management: Works with suppliers and vendors to ensure that the department has the required supplies on hand.
- Orders supplies and maintain inventory for department.
- Completes requisitions and sends to Purchasing Department or vendor.
- Receives and distributes supplies.
Timekeeping: Oversees departmental timekeeping duties, including researching discrepancies and correcting as appropriate.
- Completes timekeeping duties accurately and by prescribed deadlines.
- Tracks attendance occurrences and submit reports to the supervisor and director as requested.
- Determines the need for corrective action as appropriate.
Security Liaison: Coordinates employee access to organizational facilities and resources.
- Processes requests for employee access in a timely manner.
- Maintains access records on each employee for compliance standards.
- Terminates accesses that are no longer needed.
The incumbent may be asked to perform additional duties as assigned.
QUALIFICATIONS
Education: High School Diploma or GED required. 4 Year/Bachelor’s Degree preferred.
Experience: Minimum of 2 years of experience in performing credentialing services for a medical facility, physician office, managed care company, or insurance company preferred. Refer to the Life Support Training Policy for additional details.
Licensure: CPCS preferred.
Additional Skills/Requirements Required : Proficiency in computer word processing, spreadsheets, and database applications. Effective verbal, non-verbal and written communication skills. Skills in establishing and maintaining effective relationships with Senior Management and Leaders within UVA Health Northern VA & Culpeper, physicians, practice management, and governmental agency representatives. Strong organizational skills, ability to adhere to deadlines and protocols. Ability to work under pressure and react calmly and effectively in difficult situations. Ability to learn and maintain knowledge of applicable State, Federal and Joint Commission regulations and protocols. Ability to perform in a fast-paced, multi-task environment with flexibility as needed. Ability to be a team player and take initiative. Ability to work under deadlines and heavy workloads. Ability to work with all levels of healthcare personnel from top management to entry level clerks throughout the organization. Ability to take action on a suggested approach within guidelines of standards and procedures. Ability to be flexible and quickly change priorities is critical. Ability to manage multiple projects and meet deadlines.
