JOB SUMMARY: Coordinates record review and assists requesters with access to and release of information. Responds to requests for medical information by performing duties in accordance with established hospital and departmental policy and state and federal laws. This Non-exempt position reports directly to the HIM Director.
KEY RESPONSIBILITIES:
- Medical Record Requests:
- Coordinates the release of medical information to patients, healthcare providers, insurance companies, and legal representatives.
- Verifies authorizations to ensure they comply with hospital policies, state, and federal regulations, including HIPAA.
- Logs requests for records in the correspondence system and stamps them with the date received.
- Document and Record Management:
- Completes scanning, faxing, and indexing of daily work and other documents into the medical record system.
- Ensures accurate copying and distribution of documents as required.
- Notifies requesters when records are available or if additional information is needed.
- Confidentiality and Security:
- Maintains strict adherence to confidentiality standards for medical records.
- Consults with the HIM Director or supervisor regarding unusual or complex record requests.
4. Departmental Support:
- Answers and routes calls to the HIM department appropriately.
- Maintains positive working relationships within the department and with other hospital units.
- Performs additional duties as assigned to support departmental operations.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Strong verbal and written communication skills in English; proficiency in additional languages is a plus.
- Excellent interpersonal skills and a customer-service-oriented approach.
- Highly organized and detail-oriented with the ability to multi-task effectively.
- Proficiency in computer applications, including Microsoft Office Suite and Outlook.
- Familiarity with electronic health record (EHR) systems preferred.
