Education / Skills Required :
Associate's degree in business administration or equivalent experience preferred. Strong software skills with Microsoft office programs are essential; experience with Workday or another HRIS is preferred. Must have tact, diplomacy and discretion in dealing with all situations. Must be well-organized and able to work independently.
Responsibilities / Performance Indicators :
Receives and triages all Human Resources phone calls and emails, directing staff to the correct areas or resolving issues directly.
Performs general clerical duties such as organizing mail (both physical and electronic), data entry in various software applications, printing documents, scanning, saving and distributing documents electronically, ordering office and breakroom supplies, maintaining fully functioning office equipment, and ensuring HR workspaces are kept neat and appropriately secure.
Meets with new employees to review I-9 documents and create and distribute employee badges
Assists HRBP with bi-weekly payroll inputs
Coordinates programs such as :
ECH onsite General Orientation
Assist with Employee Recognition awards
Oversees student and job shadow onboarding process
Oversees onboarding for all volunteers
Oversees all paperwork for Employee Health
Maintains employee files in Workday and oversees physical file annual maintenance
Assists employees with general forms. (i.e. tuition assistance, PTO cash in requests, uniform allowance requests)
Completes employment verifications within 24-48 hours of receipt
Partners with Network Centralized Resource Center to include sending ECH onboarding documents to the traveler and printing ID badges
Resolves technical and administrative problems within area
Ensures the confidentiality of all documents and records. Maintains filing systems, coordinating security levels and access with IT and Facilities Management as needed for electronic and physical security
Oversees review of invoices and prepares bills for payment
Prepares and distributes meeting agendas
Coordinates conference rooms, IT equipment, and food and beverage requirements, if needed
Participates in various projects within the department
Coordinates and executes special functions or projects particular to the department. Prioritizes assignments and assumes responsibility for such projects
Prepares correspondence and special projects as directed. Creates and maintains a bridge for smooth communication between HR and others across the organization
Maintains knowledge of current policies and procedures, including relevant governance, network and local documents pertinent to overall operations and particularly relevant to HR
Produces high-quality documents, utilizing MS Office and other products as preferred by HR, in alignment with UVM Health Network standards
Demonstrates hospitality, integrity, caring and compassion when working with patients, families, guests, board members, volunteers and staff
