JOB TITLE:
Office Associate, Sr 4-H Youth Development Program
JOB PURPOSE:
Are you ready to make a difference while keeping things organized, running smoothly, and creating meaningful impact? This position supports the Wyoming 4-H Youth Development Program by assisting the 4-H Program Leader, specialists, and staff in managing a dynamic department. It’s a role where your expertise in technology, communication, customer service, and multitasking will shine as you help empower Wyoming’s youth.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
As a key member of the 4-H Youth Development Program, you’ll support a mission-driven team and have a front-row seat to statewide youth development initiatives. Responsibilities include:
Program and Department Support:
- Collaborate with the 4-H Program Leader, specialists, and foundation staff to keep operations smooth and effective.
- Research and prepare resources, organize communications, and assist with newsletters, marketing materials, scholarship verifications, and travel arrangements.
Connecting Communities:
- Be the go-to resource for Extension personnel and 4-H leaders across Wyoming’s 23 counties.
- Work closely with the 4-H Program Leader to provide guidance and support to Extension personnel and 4-H leaders across Wyoming’s 23 counties.
Exceptional Customer Service:
- Support 4-H families, volunteers, and the public with inquiries about program opportunities.
Financial and Administrative Wizardry:
- Monitor budgets, process reimbursements, reconcile P-cards, and ensure financial accountability for department and foundation funds.
- Track departmental purchases, inventory, and equipment while managing expenditures efficiently.
Volunteer and Staffing Support:
- Assist with the volunteer screening process and coordinate hiring and onboarding for work-study students and AmeriCorps members.
Event Champion:
- Help bring events like the Wyoming State Fair, Showcase Showdown, and State Shoot to life. Work with vendors, volunteers, and families to ensure everything runs like clockwork.
Tech Guru:
- Be a resource for Zsuite (our 4-H registration platform), UW systems, and mobile applications. Train staff and troubleshoot to keep everyone connected and informed.
- Occasional overnight and weekend work may be required to support major events and projects.

REMOTE WORK ELIGIBILITY:
This position provides vital support to Wyoming State 4-H office and clientele and requires the successful candidate to be available to work in the Wyoming State 4-H Office located in Laramie, WY.
The successful candidate must be eligible to work in the United States, as sponsorship for work authorization or work visas is not available for this position.
MINIMUM QUALIFICATIONS:
Education: Associate’s degree
Experience: 1 year progressively responsible work-related experience or a combination of education and work experience.
Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy.
DESIRED QUALIFICATIONS:
- Three or more years of professional office experience or an equivalent combination of education and work experience
- Exceptional customer service skills to include pleasant phone skills, conflict resolution, and possess a professional demeanor
- The ability to multi-task, stay organized, and possess strong attention to detail
- Strong time management skills and planning/managing calendars and schedules
- Ability to work independently and contribute to and be part of a team.
- Ability to take a project from conception/inception to successful completion within a specified time
- Experience managing an office and keeping track of inventory
- Experience in supporting proprietary software and website management
- Previous event planning experience
- Experience with report preparation, analysis, and documentation
- Experience with accounts payable, Human Resources, another form processing
- Experience with student information systems
- Experience working for an education not-for-profit organization
- Excellent interpersonal, verbal, and written communication skills
- Excellent Microsoft Office, web, CMS, social media, and customer service skills.
