The Department of Pediatric Dentistry at the School of DENTISTRY is one of the premier clinical training programs for Pediatrics in the country. Pediatric Dentistry has an outstanding opportunity open for a Temporary Patient Services Specialist 2.

Summary of Position: Under general supervision of the UW Center for Pediatric Dentistry Director and Patient Services Specialist Supervisor, performs clerical and technical duties to facilitate excellent customer service and delivery of patient care. The Patient Services Specialist 2 will perform the work of registration by obtaining and verifying demographic and financial information through pre-registration process, complete patient registration by obtaining consent for dental care and financial agreement, process patient paperwork and coordinating care with other provide support services such as: scheduling patient appointments, obtaining and verifying demographic and financial information through pre-registration process, completing patient registration by obtaining consent for dental care and financial agreement, processing patient paperwork and coordinating care with other clinics, and triaging patient telephone calls to clinical staff/providers and providing information about services.

This position will have significant direct contact with faculty, residents, and patients above and beyond other clinic desks. This clinic operates with a more private practice centric model which puts higher demands on the front desk.

Duties & Responsibilities

  • Greet all visitors to the clinic in a timely, cordial, and professional manner. Acknowledge each visitor immediately upon his or her entry to the clinic. Process clinic patients according to established protocol.
  • Register new patients. Verify, collect and update demographic and financial information by appropriate means, and determine eligibility for care.
  • Verify eligibility and benefits for third party payors for planned and/or emergency services, and verify insurance coverage.
  • Prepare/record changes, enter and update information into AxiUm including patient information, payments and appointments.
  • Make initial and follow-up patient appointments in AxiUm.
  • Create and edit provider schedules in AxiUm.
  • Maintain current roster of patients assigned to each resident.
  • Upon check in, collect and record payments. Accountable for collection of payments from patients upon completion of their clinic visit.
  • Process daily cash, credit card, and check collections per cash handling policy.
  • Assist with processing of referrals from other School of Dentistry clinics as well as outside referrals.
  • Provide general information to patients regarding billing issues; prepare a variety of patient care related forms to include pre-authorization documents, obtain necessary signatures for consents, follow-up as necessary, and review financial forms with patients. All functions will be done in an accurate, timely and customer service friendly manner.
  • Answer phones; take messages/page faculty and students appropriately.
  • Assist with the preparation of clinical/administrative records/reports.
  • Communicate policies to patients/visitors and the public in a professional manner.
  • Maintain the reception and waiting room areas.
  • Assist in orienting and training new staff.
  • Perform related duties as required.

Minimum Qualifications

High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience OR equivalent education/experience.
