PROGRAM ASSISTANT

POSITION PURPOSE
Serve as a primary point of contact for students, staff and guests seeking information about Residential Life activities, educational and academic initiatives, and/or administrative offices. Work collaboratively with all HFS units in support of occupancy management, customer service and student experience goals.
Duties And Responsibilities
Administrative Support
Serves as the point of contact for the Madrona Leadership & Programming Office and the North Campus team for unit partners, and other internal and external inquiries.
Provides information related to Residential Life program policies, procedures, and operations.
Provides administrative support to the Residential Life Team as assigned, including coordinating meetings, reserving spaces, distributing agendas, and recording and distributing meeting minutes.
Collaborates with other HFS units in support of day-to-day Residential Life operations.
Develops forms and procedures essential to Residential Life processes, including managing the vehicle checkout process.
Communicates Residential Life program information through various means including email, common area bulletin boards and digital screens.
Receives and responds to requests for Residential Life records and materials.
Utilizes SharePoint, Microsoft Office and the Content Management System in support of Residential Life projects.
Assists with training, scheduling, and directing student employees.
Schedules appointments and other meetings for residents and staff.
Serves as the office manager providing administrative support to, acts as a liaison for, and helps uphold office standards for Madrona Leadership & Programming Office staff and teams.
Manages space and supplies for the Madrona Leadership & Programming Office.
Organizes and maintains the production, distribution, and storage of materials; develops and maintains office record keeping and filing systems.
Acts as point of contact for Dawg Prints printing services for the Madrona Leadership & Programming Office.
Assists residents with the meeting room reservation process.
Financial Processes
Maintains program budgets and informs supervisor of discrepancies; performs corrective action to eliminate discrepancies between budget related documentation.
Compiles statistics and composes quarterly and annual budget reports.
Interprets financial policies and procedures and serves a resource to staff in the management of program funds.
Completes purchasing for teams and all Leadership & Programming Office needs, utilizing the University Procurement Card process and Housing & Food Services Purchase Order system.
Serves as a Reviewer of financial transaction documentation for compliance.
Processes and submits travel and travel reimbursement requests.
Project Committees/Workgroups
Serves as a member of and provides administrative support for several department- and unit-wide committees and workgroups.
Member of Residential Life DEIB Committee.
Manages Annual DEIB survey and analyzes data.
Develops and distributes quarterly DEIB newsletter to Residential Life staff.
Support recognition program and projects.
Creates onboarding schedules for new employees, ensuring a well-rounded onboarding experience, and coordinating and scheduling facilitators for training sessions.
Other Responsibilities
Participates in staff selection activities and training activities for Residential Life student leaders, office assistants, support staff, community managers, and other positions as needed.
Participate in unit and HFS trainings, meetings, move-in and move-out activities as needed.
Coordinates special projects as assigned.
Performs other duties as assigned.
Supervision Provided
The position works under general supervision and reports to the Assistant Director for Residential Life.
Supervision Exercised
The position may provide incidental direction to student employees throughout the year.
POSITION DIMENSIONS
The position supports a complex program administered by seven professional staff. The program activities are distributed throughout the UW campus apartment community. Working knowledge of residential life and program administration are keys to successful performance.
Though hired into a specific working title or location, all employees of Housing & Food Services are expected to support overall operations by: participating in cross-training, providing coverage during staff absences or high business volume, participating in production and/or service of special events, and being willing and able to perform additional, related duties and/or be reassigned to another work unit.
WORKING CONDITIONS
This position works a regular Monday through Friday schedule; however, it may require the occasional evening and weekend commitment for special events.
Minimum Requirements
High school graduation or equivalent AND Two years of clerical experience OR Equivalent education/experience.
Desired Qualifications
Proficiency with SharePoint, creating pages, libraries, workflows, and forms.
Experience with budget preparation, maintenance, and monitoring, and developing new software skills.
One year of experience working in a residential life or residential housing program.
Attention to detail.
Outstanding oral and written communication.
Success interpreting and communicating complex policies, procedures, and agreements.
Proficiency with MS Office applications.
Demonstrated experience and commitment to diversity, equity, inclusion, and intercultural competency.
