Job Summary
The Agents desk team will communicate directly with customers, overseas agents, airlines, terminal operators, trucking companies, as well as other V. Alexander departments on a daily basis. Additionally, this position will have regular communication with our customers making excellent communication skills, both written and verbal, a must. The Agent desk will put together quotes, track & trace of inbound shipments, collect required documents, work with VACO and other outside brokers to confirm customs clearance, issue delivery orders, organize last mile delivery, and arrange customer billing. This versatile position offers a great opportunity to all those eager for a challenge and potential advancement within the company, including visibility to Executive Management.
Duties
- Request pricing and routing options from approved carriers for final delivery
- Issuing quotations to our overseas agents for DAP/DDP term shipments
- Communicating with end consignee and respective brokers to align parties to prepare for clearance
- Track cargo on airline website and liaising with overseas agent
- Maintain and send status updates to customers/other parties
- Request and gather commercial and shipping documents
- Coordinate Customs exams when required
- Work with the entry department to ensure customs release
- Invoice file within 7 days of delivery
- Tracking trucking/ final delivery
- Secure POD
- Other duties as may be required for the success of the agent desk team
- Arrange agent air export shipments as needed
- Submit accurate AES filings for Air Export routed shipments
- Craft AWB based on Agent’s issuing instructions
Qualifications
- Ability to communication via phone and email (both internally and externally)
- Ability to work under high pressure without constant supervision
- Knowledge of FMC and Customs Regulations
- Strong problem solver
- Needs to be system oriented
- Flexibility to work overtime / after-hours work (when required)
- Neatness, accuracy and attention to detail
- Basic geography knowledge
- Organized and creative
- Computer use competency - Outlook / Office / PowerPoint / Excel/ CargoWise One
