Position Overview:
The Export Traffic and Documentation Clerk plays a key role in the logistics and supply chain operations, ensuring the timely and accurate processing of export shipments and documentation. The role involves coordinating with various service providers, preparing export documentation, and ensuring compliance with all regulatory requirements to facilitate smooth export transactions.
Key Responsibilities:
1. Order Management:
- Receive and review customer orders for accuracy and completeness.
- Enter order details into the company's software to initiate shipments.
- Monitor and follow up on orders to ensure timely processing and prevent delays.
2. Coordination with Carriers and Service Providers:
- Arrange and book shipments with carriers, including ocean, road and rail transport.
- Communicate effectively with shipping lines, and other transport providers to confirm capacity, schedules and service details.
- Coordinate with providers, warehouses and terminals for pick-up and delivery schedules.
3. Documentation Management:
- Process truck BOLs, prepare and review all export documentation including commercial invoices, packing lists, certificates of origin, bills of lading, export declarations, and other shipping documents.
- File AES with US Customs and submit documents to the steamship line in a timely manner.
- Ensure that all documents meet the requirements of the destination country, and are accurate, complete, and submitted on time.
4. Export Compliance:
- Ensure compliance with international trade regulations, export control laws, and customs requirements.
- Maintain a working knowledge of current trade and customs regulations for the country of export.
- Handle any export-related inquiries and liaise with the relevant authorities, ensuring the company follows all export procedures.
5. Shipment Tracking and Reporting:
- Track shipments and ensure timely updates are provided to customers.
- Maintain records of all export shipments, including shipping documents, invoices, etc.
- Create, maintain, and update spreadsheets for tracking shipments and container inventories.
- Ensure accuracy and consistency in spreadsheet data entry, minimizing errors and discrepancies.
- Regularly review and update spreadsheets to reflect current and accurate information.
6. Customer Communication and Support:
- Act as the point of contact for customers and suppliers concerning export-related inquiries.
- Provide assistance to customers in managing their orders and shipments, ensuring a high level of customer service.
- Attend regular meetings and videocalls with customers and suppliers.
- Address and resolve any issues that arise during the export process.
7. Data Entry and System Maintenance:
- Enter export shipment data into the company's transport management system.
- Ensure the accurate maintenance of shipment files and other documentation in compliance with company policies and industry standards.
8. Problem Resolution:
- Address and resolve issues related to export shipments, including delays, discrepancies in documentation, and logistical challenges.
- Work proactively to avoid shipping errors or customs issues.
Qualifications and Skills:
- Education: High school diploma or equivalent required; a degree in logistics, international trade, or a related field is a plus.
- Experience: Minimum of 1-3 years of experience in export operations, freight forwarding, or logistics.
- Knowledge: Strong understanding of international trade regulations, customs procedures, and export documentation.
Skills:
- Proficient in using Microsoft Office Suite (Excel, Word, Outlook, etc.), and experience with logistics software (CargoWise) is preferred.
- Excellent organizational and multitasking abilities.
- Strong communication interpersonal and decision-making skills.
- Attention to detail and accuracy in handling documentation.
- Ability to handle pressure in a fast-paced environment, prioritize work and resolve problems quickly.
