The Virginia Information Technologies Agency (VITA) is excited to offer an exciting opportunity for recent college graduates to join our team as an Administration Specialist Associate. This role supports the Chief Administration Officer and is part of our Associate Program designed to help you unlock your full potential.
Reporting directly to the CAO, the Administration Specialist Associate provides a wide range of administrative and executive level support and acts as the primary point of contact to the office of the CAO.
The Administration Specialist Associate:
- Provides executive support in a one-on-one working relationship.
- Serves as a liaison to the CAO directors and the executive team.
- Organizes and coordinates executive outreach and external relations efforts, where appropriate.
- Works in a confidential environment, which requires a high level of tact, integrity, and confidentiality.
- Establishes and manages internal and external customer relationships pertaining to the CAO.
- Performs a variety of administrative tasks while supporting the CAO, driving strategic priorities.
- Undertakes special projects, conducts research, and provides functional guidance to administrative support staff and
- Performs other related duties as assigned.
This position reports directly to the Chief Administrative Officer and is responsible for the effective and efficient administration of day-to-day operations of the administrative directorates that fall under the CAO.
The selected candidate should be able to possess a broad knowledge of government operations. This position involves considerable contact with state government staff, federal staff, elected officials, and the public.
The position requires a person with confidential tact, political acumen, and exceptional work ethic.
This position will assist the CAO with daily administrative duties and completing a broad variety of administrative tasks including, managing calendar(s), preparing for internal/external meetings (which includes events/presentations), arranging travel, preparing/editing correspondence(s), as they relate to the CAO Office.
Communicating with VITA staff of CAO matters and acting as a liaison between the public and community organizations.

Minimum Qualifications
Some experience in meeting coordination or a related role.
Experience with Microsoft 365 platform, including MS Teams, Outlook, Excel, PowerPoint and SharePoint.
Strong organizational skills and attention to detail are a must.
Excellent communication skills, both written and verbal. Comfort level in external and internal communications among all organizational levels, including senior leadership.
Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
Additional Considerations
Previous experience in a public sector setting.
Previous experience in an administrative role supporting a senior management team.
Previous experience in a customer service setting.
Technical proficiency in presentation software and collaboration programs such as Teams and SharePoint.
Prior experience managing multiple projects in various size and scope.
