The Virginia Information Technologies Agency (VITA) is excited to offer an exciting opportunity for recent college graduates to join our team as an Oversight and Governance Associate. This role supports the Oversight and Governance Team and is part of our Associate Program designed to help you unlock your full potential.
The mission of VITA’s Oversight and Governance (O&G) division is to ensure that large-scale IT investments and projects across the Commonwealth of Virginia are managed effectively. The O&G division is made up of two teams, first is the IT Investment Management Division (ITIMD) and second is the Project Management Division (PMD). Together these teams provide oversight, governance, and consultation for Commonwealth-level IT procurements and projects throughout their entire life cycle.
The Oversight and Governance Associate is key to the success of the O&G division and will be responsible for the following items.
Meeting Preparation and Coordination
- Schedule meetings and ensure all attendees required to be in attendance are invited.
- Coordinate the approval of all presentations to be showcased during meetings.
- Provide logistical support, such as arranging venues, coordinating with internal and external speakers, setting up video conferencing, or other technical needs.
- Assist and eventually draft PowerPoint presentations for meetings.
Documenting and Reporting
- Take detailed notes during meetings to ensure accurate capture of discussions and decisions.
- Track action items from meetings, ensuring timely follow-ups and completion.
- Generate and provide routine and ad hoc reporting as requested.
Content Management
- Monitor O&G’s content on VITA’s website to ensure it remains accurate and submit requests for updates when they are needed.
- Oversee updates and content management for O&G division on agency internal intranet sites.
- Input training class information into database, record attendance, and update class descriptions as needed.
- Document employees scores in Qualification Record database after their exam completion.
Departmental Administrative Support
- Create, maintain, and update departmental policies, processes, and procedures.
- Monitor the division’s shared Outlook mailbox and respond to emails when possible or route to the correct point of contact for resolution.
Analytics and Research
- Analyze IT strategic plans looking for trends as well as enterprise/collaboration opportunities.
- Assist in updating the IT Investment Management Standard.
- Assist in the review and approval recommendation process for IT Budget Decision Packages.

Minimum Qualifications
Some experience in meeting coordination or a related role.
Experience with Microsoft 365 platform, including MS Teams, Outlook, Excel, PowerPoint and SharePoint.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal. Comfort level in external and internal communications among all organizational levels, including senior leadership.
Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
Additional Considerations
Previous experience in a governmental setting.
Previous experience in an IT environment.
Previous experience in a customer experience setting.
Demonstrated prior project coordination or project management experience.
Technical proficiency in presentation software and collaboration programs such as Teams and SharePoint.
Understanding of accessibility standards.
Prior experience managing multiple inboxes.
