Position Summary
This vital role is responsible for efficiently managing maintenance requests and vendor relations to ensure the timely resolution of property issues. Key duties include reviewing and prioritizing maintenance tasks within the property management system, coordinating with vendors to schedule and confirm task completion, and ensuring accuracy in financial management by handling invoicing. Maintaining clear communication with property owners, guest services, and team members is of the most importance. Additionally, the position requires assisting owners and guests as needed.
Essential Duties and Responsibilities
- Maintenance Request Management:
o Review and prioritize maintenance requests submitted
o Create and assign maintenance tasks within the property management systems
- Vendor Management:
o Identify, procure, and maintain relationships with preferred vendors for various maintenance services.
o Follow up with vendors to schedule/confirm completion of work orders
o Confirm vendors complete tasks prior to submitting invoice for payment
- Financial Management:
o Submit/enter all subcontractor invoices for payment.
o Coordinate approval for maintenance services as needed.
o Printing checks for vendors/owners/guests as needed.
o Coordinates with owners to be sure funds are available to pay vendors if needed.
o Deposit payments remotely as checks are received.
o Review owner statements for inconsistencies before end of month- report issues.
- Communication and Collaboration:
o Maintain open communication with guest services, owners, and vendors.
o Provide regular updates on maintenance status to the team.
o Collaborate with other departments to ensure efficient problem-solving.
o Ensure accurate recordkeeping of maintenance history.
o Helps with guests as needed- answering phones, taking reservations, walk in traffic, etc.
Must work Monday-Friday and flexibility on weekends.
