Job Title: Treatment Coordinator
Hours: Monday - Friday 8:30am - 5:00pm with a one hour lunch
Reports To: Office Manager / Doctor
Locations: Vails Gate NY & Monroe NY

Responsibilities / Duties
- Responsible for new patients' smooth transition into the practice
- Accept new patient phone calls if available.
- Enter complete information in the computer that is needed on each new patient.
- Print information for initial packet and send.
- Prepare a new patient welcome packet for patients for their arrival for the exam.
- Pull any appropriate x-rays and sibling records prior to the exam.
- Greet new patients for the examination appointment.
- Lead patients on a tour of the office and see that photos and a pan are taken on each patient.
- Review the health history and chief concern.
- Note allergies to medication, history of trauma, and pre-medication requirements.
- Review the treatment fee estimate and explain the records procedure.
- Prepare necessary exit packets including one for second financially responsible parties.
- Discuss the payment options, the Contract and the Informed Consent with the patient/parent.
- Make certain the chart, letter and contract are completed.
- Schedule treatment appointments.
- Answer questions from new patients throughout the new patient process.
- Process the post-exam letter to the patient and general practitioner.
- Send a thank you note for the referral.
- Be sure to post the checkout code for each exam patient and check that the status of the patient is correct.
- Schedule a recall appointment for each exam patient who does not schedule a next visit but may be a candidate for treatment.
- Follow up on all pending decision patients.
- Prepare a chart for consultation and do a consultation in conjunction with the start visit.
- Request transfer records for transfer patients.
- Send patient records for consultation with an oral surgeon or other specialists.
- Listen to the patient's needs and expectations
- Other duties may be assigned
Skills / Abilities
- Good interpersonal skills to maintain effective rapport with patients, parents, doctor, other staff members, and community.
- Technical Skills: Use of computer, calculator, computer entry, tracking, imaging & graphics.
- Mathematical
- Skills: Ability to add, subtract, multiply and divide without errors.
- Writing Skills: Letter composition skills. Typing speed of 60 wpm. Legible handwriting.
- Effective verbal skills. Good telephone techniques.
- Problem solving approach.
- Attention to detail
- Verbal skills to create and nurture on–going relationships, and to build the patient's trust and confidence in the doctors and staff.
Education / Experience:
- High school diploma or equivalent (preferred); one year of college
- At least 1-2 years experience working in orthodontic / Dental office
Pay:
- $18 - $22
- Incentives available based on production and other factors
Locations:
- This position requires working in Monroe AND Vails Gate NY, this is mandatory and is not negotiable.
