About This Opportunity:
As the Part-Time Office Manager (10-15 hours/week), you will organize and coordinate administrative tasks and office procedures to ensure smooth operations. Your role is essential in creating a pleasant and efficient work environment, fostering high levels of organization and effective communication.
Things You’ll Do Here:
- Serve as the primary point of contact for office management matters across both locations.
- Oversee office organization, including tidiness of common areas, kitchen, and shared spaces.
- Manage office supply inventory, ordering, and restocking as needed.
- Coordinate with the appropriate Corporate departments for onboarding/offboarding processes, including desk setup for new employees.
- Work with the IT department to manage office equipment maintenance, including printers, computers, and conference room technology.
- Handle mail distribution, incoming/outgoing packages, and other courier services.
- Oversee maintenance schedules for office facilities, including cleaning services, HVAC, and parking lot upkeep.
- Liaise with vendors for building repairs, utilities, and other operational needs.
- Assist in scheduling and organizing on-site events or meetings, including setup and breakdown of conference rooms.
- Act as a resource for staff to address minor issues or needs, escalating to HR or IT as necessary.
- Maintain records of key/access cards and monitor parking assignments if applicable.
- Ensure kitchen supplies are stocked and functioning properly (e.g., coffee machine maintenance).
- Coordinate with leadership to assist with meeting preparation and logistics, such as arranging catering or ensuring presentation equipment is ready.
- Manage office-related expense reports and submit them to the accounting team.
- Maintain a shared office calendar to track important dates, office closures, or maintenance schedules.

What You’ll Bring to the Team:
- One (1) year of administrative support experience.
- High School Degree, Associate, Bachelor or higher
- Excellent verbal and written communication skills are required, as are exceptional organizational skills.
- Understanding of the healthcare system – Providers, Insurers and Patients
- Proficiency in MS Suite (Word, Excel, PowerPoint, Excel, Access, Outlook)
- Analytical skills, problem-solving skills, reading ability, creative decision-making skills, the ability to comprehend and follow instructions, mathematical ability, and time management are required.
