Valhalla Management Association is looking to hire highly motivated Administrative Assistant/Bookkeeper for our growing team. This position will support areas including but not limited to accounts payable, accounts receivable, customer service and various office tasks.
Valhalla Management Association is looking for a part-time administrative assistant/bookkeeper to help organize and coordinate administration duties and office procedures. Previous experience as an administrative assistant/bookkeeper is required.
A successful administrative assistant/bookkeeper should have experience with a variety of office software (email tools, spreadsheets and databases), be able to accurately handle accounting and administrative duties. The administrative assistant/bookkeeper ensures the smooth running of the office and helps improve the company’s procedures and day-to-day operation. Reports to General Manager.
Responsibilities:
Duties may include answering phones, creating invoices, processing credits, card payments, applying payments to accounts, print/scan/copy jobs, mail sorting, entering invoices for payment, responding to vendor and customer inquiries. Remain flexible and perform other duties as assigned.
Serve as the point person for general manager, duties include, but are not limited to: administration, accounting, filing maintenance, mailing, supplies, data entry, customer service, etc
Help establishes and implements office operations, accounting procedures, routines, other procedures, and filing systems.
Assist the General Manager with any other tasks.
Required Skills:
- Knowledge of accounting principles and ability to compile and calculate accurate data and research from a variety of resources under a deadline is required.
- Strong attention to detail and organizational skills.
- Ability to effectively multi-task and prioritize with frequent interruptions.
- Decision Making: These positions require the ability to make independent decisions daily. The candidates must be able to identify the best way to handle specific tasks.
- Collaboration and Communication: The ability to communicate effectively with other staff and customers is essential. Collaboration is common in this role and is necessary.
- Prioritization and Organization: The ability to organize thoughts and prioritize duties is important. Individual must be organized and assist others organize their projects.
- Written communication and basic math skills: Spelling, punctuation, and writing are essential. Must have basic math skills to organize information in spreadsheets and complete accounting related tasks.
- The ability to speak clearly, understand and respond to written and oral communications concisely, ability to understand and carry out oral and written instructions.
- Ability to handle transactions with public requiring effective accountability and accurate controls.

Qualifications:
- 2 years’ accounting/bookkeeping experience.
- 2 year administrative assistant experience.
- 2 Customer service experience.
- Experience with accounting systems.
- Proficiency in MS Office (MS Excel and MS Outlook)
- Familiarity with Microsoft Office Suite and Google
- Excellent communication skills
- Able to handle confidential information.
- Be self-motivated, have strong time-management skills; work efficiently and productively with limited daily direction.
- Ability to work independently and with a team.
- Must have the drive to learn about the industry and the importance of position.
- Ability to identify and work towards business goals.
Preferred Qualifications:
- Accounting or similar business-related degree preferred but not required.
