SUMMARY DESCRIPTION
Provide switchboard coverage and Administrative support for corporate office. May take and deliver messages, provide information to callers, set up and maintain files, assist with preparation of the mail and invoices, word process documents, proofread, and other duties as assigned from time to time. You should have excellent organization skills along with the ability to prioritize tasks and meet deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Answers switchboard phone and gives information to callers; accurately routes calls to appropriate personnel; may establish caller need and re-direct calls as is appropriate.
- Provide clerical and/or admirative support to members of the Facilities Department
- Schedule, Coordinate and Prepare for meetings as needed for Facilities Department.
- Enters new and updated vendor information into Oracle system.
- Enters Req’s for PO’s into Oracle for all WB Mason orders and other miscellaneous Facilities vendors.
- Manage and maintain monthly utility bills for tracking & updating logs for Corporate and CMC. (PSE&G, NJ Amer. Water, & other miscellaneous vendor tracking)
- Organize company documents into filing system for monthly/quarterly/annual tracking
- Create and Manage project binders as necessary for tracking of required data
- Perform other duties as assigned.

Education
- HS Diploma required
Type and Number Years of Experience:
- 5 years’ experience in similar role in an office environment
- Excellent knowledge of Microsoft Word, Excel, Outlook and Power Point
- Good computer, faxing and filing skills
- Excellent communications skills and knowledge of business phone etiquette; good phone presence
- Customer service oriented
- Ability to use good judgment in handling callers
- Ability to handle multiple tasks simultaneously
