This position serves as the Executive Assistant to the Pastor and Church Administrator. Assists in daily administrative activity where needed. Serves as the Church Receptionist. Assists with marketing communications and materials to effectively represent the Church’s services and ministries to members and the public. Assists with events and planning and supports staff and volunteers by carrying out administrative and general office duties as directed. Handles data entry and clerical tasks related to donations and financial reports.
PASTORAL ADMINISTRATIVE SUPPORT DUTIES AND RESPONSIBILITIES:
- Typing and secretarial support services for the Pastor.
- Direct and respond to telephone calls and/or written inquiries from Pastor, and other high level contacts relating to the Pastor’s Office.
- Prepare required reports requested by and relating to the Pastor’s Office.
DEPARTMENTAL ADMINISTRATIVE SUPPORT DUTIES AND RESPONSIBILITIES:
- Direct and respond to telephone calls and/or written inquiries from Pastor, and other high level contacts relating to the Church Administrator.
- Prepare required reports of daily operations requested by the Church Administrator.
- Typing and secretarial support services for the Church Administrator and Ministry Directors.
- Assist the Finance Department with verifying financial information and distributing giving reports to donors.
RECEPTIONIST DUTIES AND RESPONSIBILITIES:
- Answers and makes telephone calls.
- Greet members, visitors, and vendors displaying top-notch customer service.
DATA ENTRY:
- Assist with the data entry of donations.
- Assists with data entry in various databases.
MARKETING/PUBLIC RELATIONS:
- Assist with creating flyers.
- Prepares and handles distribution of annual solicitation letters.
- Assists with updating the church website.
EVENT PLANNING:
- Acts as a liaison for the church, coordinating with all outside speakers, vendors, and parties Coordinates with all parties involved.
- Serves as the point person for calendar management of all events and scheduling needs.
- Assists interested parties for baby dedications, baptisms, weddings, rehearsals, meetings, etc.
- Collaborates with the event support teams.
GENERAL CLERICAL:
- Arranges appointments, meetings and travel.
- Answers and makes telephone calls.
- Types letters, reports, and other documents
- Organizes the photocopying of documents and special projects as assigned.
- Carries out filing and general administrative work.
- Plans and organizes work according to office procedures established and determines priority of work tasks.
- Organizes the photocopying of documents and special projects as assigned.
- Order and purchase office stationery, equipment and materials.
- Maintains confidential records and files.
- Compose letters and memos.
- Screens telephone calls and returns follow-up calls; sets up conference calls.
- Creates presentations.
- May provide back up to other staff as assigned.
- Maintains mail solicitation donor file.
- Other duties as assigned.
QAULIFICATIONS:
- Minimum Maturity Level: Mature and seasoned Christian
- Spiritual Gift: Administration and Serving
- 2 years of Administrative and Clerical experience
- 1 year 0f experience with Marketing/Social Media/Graphics
- Proficiency in Microsoft Word, PowerPoint, Excel
- Proficiency in Adobe and creating and editing PDFs
- 1 year of Data Entry experience
- Ability to be confidential.
- Ability to multitask and be flexible.
- Ability to work independently.
- Outgoing personality with a customer service mindset
- Event coordination is a plus.
Part-Time Hours, 20 hours per week, Monday - Friday. VERY rare weekend needs.
Pay: $20/HR
