Valley CAPS (Center for Advanced Personal Success) is a licensed non-profit organization that has been in operation since 1976. We provide a variety of programs designed to benefit adults with developmental disabilities. Valley CAPS operates five facilities in two counties and has over 200 adults attending on a daily basis. Our Programs are designed to increase the Participant’s skills in self-care and daily living, academics, communications, and employment opportunities.
Job Summary
Our Administrative Assistants are responsible for a variety of administrative and clerical duties. They are the initial point of contact for anyone entering our facilities. Daily administrative duties include answering phones, greeting visitors, preparing and reconciling daily Personal and Incidental (P&I) accounts and Petty Cash ledgers, assisting managers and instructors with tasks, generating reports, updating and maintaining Program and Participant records (both physical and electronic), operating office equipment, assisting with Program events, and other duties as assigned. The ideal candidate will have experience in a fast-paced environment and has strong computer skills. This position requires a proactive, self-starter who possesses exceptional multitasking and communication skills, both oral and written.
Job Duties
- Answer phones and direct callers to the appropriate personnel in a professional manner,
- Use a computer and software applications to accurately type, enter data, retrieve data, create documents, and send email,
- Operate a variety of standard office equipment and order supplies for the equipment,
- Maintain accurate and up to date Participant files, both physical and electronic files,
- Performs annual audits of Participant files checking for accuracy and completion,
- Performs daily, weekly, and monthly reconciliation of P&I and Petty Cash accounts,
- Create, proofread, and prepare various documents for meetings,
- Assist management with a variety of tasks,
- Maintains a clean and safe work environment
- Maintains professional and ethical standards,
- Maintains confidentiality and confidential information in accordance with agency standards,
- Supports Valley CAPS’ mission, values, and goals,
- May be required to travel to Modesto and Manteca, and
- Other duties as assigned.
Qualifications
- High School Diploma or General Education Degree (GED) required,
- Must be at least 18 years old,
- At least two years experience as an administrative assistant,
- Strong working knowledge of Microsoft Office – Outlook, Word, and Excel,
- Type at least 40 words per minute,
- Excellent written and verbal communication skills,
- Strong organization skills and attention to detail,
- Ability to multitask and prioritize tasks according to importance,
- Ability to handle stressful situations calmly, and
- Self-motivation – the ability to display a high level of initiative in carrying out all responsibilities with or without supervision.
Conditions of Employment
- Must pass a pre-employment physical examination, lift test (75 lbs.), and drug test,
- Must have a negative tuberculosis (TB) test, and
- Must pass a Department of Justice /FBI Criminal Background Check.
- Must have a High School Diploma or GED and be 18 years old (due to background check).
This is a Full Time Position, 40 hours per week, Monday through Friday. Paid medical, dental, and vision benefits, accrued vacation and sick leave, paid holidays (10 major holidays per calendar year), and paid basic life insurance.
Pay starts at $17.00
Potential wage range: $17.00 - 19.00
